How an academy goes live
Roughly four weeks for a single academy, and six to eight if you run several branches.
Set up your academy
We record your instruments, styles or sports, levels, batches, rooms and grounds, teacher and coach timetables, fee plans and discounts.
Move your lists across
Students, family contacts, batch enrolments and fee balances come across from your sheets or old system, and are reconciled before go-live.
Train staff and invite families
The front desk learns scheduling and fees, teachers and coaches learn attendance on their phones, and families are invited to the parent app.
Run your first show on it
We support your first registration round and your first recital, show or tournament on iVake, so the team sees the whole cycle work once.
Work out a late fee on your own rule
Count the days a monthly fee is overdue, apply your grace period and your own rule, and see the charge. Free, no account needed.

Questions academies ask
Short answers. The demo covers the rest.
It is recital week, and fees and attendance are in different notebooks. Where do we start?
With the students already enrolled. Performer order, rehearsal slots and costume charges are planned against them, attendance is marked from a phone, and show fees sit beside monthly fees on each family’s statement. Parents pay from the app, and reminders stop once a charge is paid.
Does iVake suit Hindustani, Carnatic and Western music, and classical and modern dance?
Yes. Instruments, styles and levels are settings, so a tabla student preparing for a graded exam, a Bharatanatyam batch and a hip-hop class run side by side, each with its own schedule and fees.
Can a sports academy track athlete progress?
Yes. Coaches record assessments on skills and fitness tests, level or belt promotions, and photo or video evidence on each athlete’s file. Coaches can mark attendance on the ground even without signal, and parents follow progress across the season in the app.
How are cancelled and make-up lessons handled?
A cancellation is recorded as a cancellation, not an absence, and the make-up lesson is linked back to the one it replaces, so attendance and fees stay consistent.
How does billing work for a family with several children?
Each child’s lessons, batches, camps and show charges sit on the family’s account. Sibling discounts are applied before the amount is shown, and parents pay from the app by UPI, card or net banking.
Can we keep track of instruments on loan and practice rooms?
Yes. Each loaned instrument is issued to a named student with a return date, and practice rooms are booked against the live timetable, so nobody arrives to find their room taken.
How much does iVake cost for an academy?
The ERP is ₹8 a student a month up to 200 students, ₹7 from 201 to 10,000 and ₹5 above that. Admission management (₹4,999), Training & placement (₹3,999) and Alumni management (₹2,999) are flat monthly add-ons. Onboarding is a one-time ₹10,000, covering migration and training. GST at 18% is extra; quarterly billing saves 5%, yearly 15%.
Is there a free trial?
Yes. Try iVake free for 30 days with full feature access and no credit card, at app.ivake.com. If you continue, your first invoice includes the one-time ₹10,000 onboarding.
