The Old Way Transform My Institution

Where you are today

Holding you back

  1. Courses sold outside the system

A certificate course is sold through a separate form and payment link, and staff create each learner’s record and login by hand, days later.

    Pain point

  2. Uniforms sold from a notebook

Uniform and book-kit sales are tracked in a register at the counter, sizes run out without warning, and refunds are worked out by hand.

    Pain point

  3. Event passes on another site

Annual day or workshop passes are sold on a third-party platform that takes a cut, and the attendee list arrives as a spreadsheet to clean.

    Pain point

  4. Other income counted separately

Course fees, uniform sales and event income are totalled from three places before anyone can say what came in this term.

    Pain point

  • 3+Places other income is recorded
  • DaysBefore a buyer gets access
  • 2+Times each sale is keyed in

Your institution, transformed

Everything connected

  1. Enrolled when the payment clears

A course purchase creates or updates the learner’s record and opens access, without anyone keying it in.

    Solved

  2. Stock shared by counter and app

Online orders and counter sales draw from the same stock count, so the last size is not sold twice.

    Solved

  3. Passes on your own record

Event passes are sold through your gateway, and attendees land on the record rather than in a download.

    Solved

  4. Every sale on the ledger

Each sale posts under its own ledger head and matches the gateway settlement, just like a fee.

    Solved

  • 1Checkout for courses, goods and events
  • 0Learner records typed by hand
  • 1Ledger for fees and other income

Buyers get access as soon as they pay

Orders placed in the evening are handled in the evening. Purchases write straight to the records the rest of the institution already uses, so nobody opens access or reserves stock by hand the next morning.

  • Course purchases create or update the learner’s record, enrol them in the batch and open access
  • Uniform, book and stationery orders check the same stock as the counter and reserve it at purchase
  • Event registrations add the attendee and send a confirmation on WhatsApp or email

One view of income beyond tuition

Income from workshops, uniforms and events belongs in the same books as fees. Each sale posts under its own head, so the term’s total is a report rather than a tally from three places.

  • Each sale posts under its own ledger head: courses, uniforms, books, events
  • GST applied per item at the rate your accountant sets, kept apart from exempt fees
  • Gateway settlements matched against sales overnight, like fee payments

Discount codes and cart reminders without a separate shop

Some parents add a book kit to the cart and never check out; others would buy the stationery pack if they saw it next to the books. A few simple selling tools cover both.

  • A reminder to families who left items in the cart, with a link back to it
  • Related items suggested at checkout, such as the stationery pack with the book kit
  • Discount codes with an end date, a usage limit and the items they apply to

Frequently asked questions

Get answers to common questions about e-commerce

Which payment methods work, and are card details stored?

Buyers pay by UPI, card or net banking through Razorpay, PayU, Cashfree or your bank’s gateway, and money settles into your account as it does for fees. The payment is completed on the gateway’s own page and a UPI PIN is entered in the buyer’s own app; iVake records the confirmation, not the card.

How does enrolment work when someone buys a course?

When checkout completes, iVake creates a learner record if one does not exist, or adds the course to the existing one. The learner is enrolled in the batch, access is opened and a confirmation is sent. A current student’s purchase is added to the record the school already holds.

Can we sell uniforms, books and courses from the same store?

Yes. One catalogue holds courses, physical goods, event passes and services, and one order can hold several kinds. What happens next depends on the item: a course enrols the learner, a uniform is reserved for collection or dispatch, and a pass adds the attendee.

How is stock shared between the counter and online orders?

Stores are on the same record, so online orders and counter sales draw from one count. An online order reserves the item at purchase, so the last size cannot be sold twice, and a low-stock alert goes out at the level you set.

What selling tools are included?

Discount codes with end dates, usage limits and the items they apply to; reminders to families who leave items in the cart; related items suggested at checkout; and bundles such as a book kit with its stationery pack at one price.

How does sales income appear in the accounts?

Each sale posts to the ledger under the head you map it to, such as uniforms, books, courses or events. A refund reverses the original entry. Settlements are matched against the ledger overnight, and the day book goes to Tally or Zoho Books with the rest of your fees.

Can we charge GST on items that attract it?

Yes. Your accountant sets the rate for each item, iVake applies it at checkout and keeps it apart from fees that are exempt, and GST reports come from the same records. Confirm the rates that apply to you with your tax adviser.
