See what library management changes at your institution
Before vs. after adding library management to iVake
Where you are today
Holding you back
Borrower lists rebuilt every session
The library keys in each new batch, removes students who left and fixes names that do not match the office’s list.
Pain point
Fines lost between desks
A fine is written in a register, a slip goes to accounts, and some never reach the student’s dues.
Pain point
Reserve copies on a paper log
Books set aside for a course are tracked in a notebook, and some never find their way back to the open shelves.
Pain point
Budgets argued without data
The librarian asks for next year’s purchase budget but cannot say which departments use which sections.
Pain point
- 2+Borrower lists to keep in step
- 3+Hands a fine passes through
- DaysTo pull one usage report
Your institution, transformed
Everything connected
Borrowers are your students and staff
Library access follows enrolment and staff records, so joiners can borrow and leavers cannot, without an import.
Solved
Fines reach the dues
Overdue charges are calculated by rule and sit with the student’s other dues, where accounts and parents see them.
Solved
Reminders go out on their own
Borrowers with overdue books are reminded on WhatsApp, SMS or email, and every reminder is logged.
Solved
Usage you can show
Issues are tied to the borrower’s department and programme, so purchase decisions rest on use, not impressions.
Solved
- 1Record for borrower and student
- 0Borrower lists to import
- 1Ledger for library fines and fees

Borrower records that never need re-keying
Library borrowers are the students and staff already in iVake. When a student enrols, changes programme or leaves, and when staff join or move on, borrowing follows without anyone importing a list.
- Loan limits and periods set by category: student, faculty and staff
- Borrowing closed for leavers at the end of their final term
- Issue and return at the desk with the accession label and ID card
Fines that reach the fee account without a paper slip
Overdue, lost and damaged book charges are calculated by rule and sit with the student’s other dues. Students and parents see them in the app, accounts sees them in the ledger, and nobody walks a slip across the campus.
- Fine rates by book type and borrower category, with reference copies charged higher
- Fines added to the fee account and paid by UPI, card or net banking in the app
- A no-dues check before a transfer certificate or degree is released
Collection reports that guide the purchase budget
Because the library shares its records with enrolment, issues can be read by department, programme and year. The budget conversation starts from what was borrowed, not from impressions.
- Issues by department, programme and year, for the librarian and the principal
- Titles not issued in two, three or five years, listed for weeding
- Collection size, new accessions and usage ready for NAAC data

Frequently asked questions
Get answers to common questions about library management
Do we have to import borrowers if our students are already in iVake?
No. Borrowers are the students and staff already on record. You set loan limits and periods for each category, and access follows enrolment and staff status as people join, move or leave.
Can unpaid library fines hold back a transfer certificate or degree?
Yes, if your institution wants that. Fines sit with the student’s dues, so the same no-dues check that applies to fees can apply before a transfer certificate or degree is released, and it clears when the balance is paid.
We have a central library and department libraries. Can the rules differ?
Yes. Each library can keep its own loan periods, fine rates and shelves while sharing one catalogue and one borrower list. Reports can be read for each library or for all of them together.
Do we need barcodes or RFID?
Barcoded accession labels and the student ID card are enough to issue and return at the desk. iVake already reads RFID and smart cards for attendance; ask us about using the same cards at the library counter.
How does it help us decide what to weed from the collection?
Titles not issued within a period you choose are listed by subject, shelf and accession date, so the librarian reviews a list rather than walking the stacks. Each decision is logged with its reason.
What library figures can we use for NAAC?
Collection size, new accessions, issues by department and borrower activity come from the same records as enrolment and can be exported for the criterion on infrastructure and learning resources. Always follow the current manual for your category of institution.
Can we bring our existing catalogue across?
Yes. Catalogue and issue records in spreadsheets or older library software are mapped and imported during onboarding, with a trial import into a test copy before anything touches live data.
Is the library module included in the price?
Yes. The library is part of campus operations, which is priced per student, per month, with every ERP module included at every band.
