Gradebook and grading system

Record marks where teaching happens and let the grade book do the arithmetic. Weighted internal assessment is entered once, locks on the date you set and keeps its history, and report cards, results and outcome attainment are read from it rather than rebuilt.

See what a gradebook changes at your institution

Before vs. after adding the gradebook to iVake

The Old Way Transform My Institution

Where you are today

Holding you back

  1. A spreadsheet per teacher

Every teacher keeps marks in their own sheet, with their own formulas and weightings, and nobody checks them until results are due.

    Pain point

  2. One broken formula

A wrong cell reference quietly miscalculates a whole section, and it comes to light when a parent questions the report card.

    Pain point

  3. Weeks of copying marks

The exam cell types marks from teachers’ sheets into the results system, one subject and one student at a time.

    Pain point

  4. Parents hear at term end

A child failing a subject is noticed when the report card goes home, too late for extra help to make a difference.

    Pain point

  • 3+Sheets holding the same marks
  • 2+Times each mark is typed
  • WeeksBefore a problem reaches home

Your institution, transformed

Everything connected

  1. One grade book, one set of rules

Components, weightings and grade bands are set once and applied the same way in every section.

    Solved

  2. Calculated, not typed

Totals, grades and grade points are worked out as marks are entered, with no formulas to break.

    Solved

  3. Results read from the grade book

Once the grade book locks, results, report cards and marksheets come straight from it.

    Solved

  4. Progress seen during the term

Published marks and teacher remarks reach students and parents in the app while there is still time to help.

    Solved

  • 1Grade book per subject and section
  • 0Marks copied by hand
  • 1Revision history for every mark

Marks that add up the same way in every section

Weightings, grade bands and best-of rules are set up once and applied the same way by every teacher, in every section. The grade book does the arithmetic, not a formula someone typed.

  • Weighted components such as unit tests, notebooks, practicals and projects, totalled as marks go in
  • Grade scales for percentages, grades and grade points, set for each board, programme or class
  • Best-of rules, such as counting the better two of three unit tests, applied automatically

Report cards and results without the copy and paste

Marks flow into results and report cards on their own. Nobody copies from a spreadsheet, merges a template or wonders which version of the file is the right one.

  • Report cards drawn from marks, attendance and teacher remarks already on the student record
  • Marksheets and transcripts with grade points and CGPA read from locked grade books, not retyped
  • Report card layouts set up for your board, university or programme

Progress visible at home while there is time to act

Parents should not have to wait for the report card to find out a subject is going badly. Published marks and remarks reach the app during the term, and students slipping below your line are flagged.

  • Parents and students see published marks and teacher remarks in the app
  • Class teachers and parents are alerted when marks fall below the threshold you set
  • Term-on-term trends show whether a student is improving or slipping

Frequently asked questions

Get answers to common questions about the gradebook

Can different classes or programmes use different grading scales?

Yes. The primary section can use grades, the secondary classes your board’s grade bands, and degree programmes grade points and CGPA, all in one institution. Each subject or programme is linked to its scale, and report cards use the right one.

Can each subject weight its assessments differently?

You define components such as unit tests, assignments, practicals and projects, with a weight for each. Every assessment belongs to a component, and totals update as marks are entered. A science subject can weight practicals more heavily than a language subject does.

What happens when a teacher needs to change a mark?

The change is made in the grade book and written to the revision history with who made it, when, and the value before. Once the grade book has locked, a change goes through the approval your institution sets.

How do parents see marks, and when?

Parents see marks and teacher remarks in the app once they are published, with one login for every child in the family. You decide when each assessment is published, so marks are not shown before they have been checked.

Can the grade book count only a student’s best scores?

Yes. A component can be set to count the best results, for example the better two of three unit tests, and the total updates as each new mark arrives.

Do results and report cards need a separate export from the grade book?

It sits on the same student record as enrolment, attendance and examinations. When a grade book locks, its marks feed results, report cards and marksheets directly, and course and programme outcome attainment for NBA and NAAC is computed from the same marks.

Can results go to DigiLocker and the Academic Bank of Credits?

Yes. Issued marksheets and certificates can be pushed back to the student’s DigiLocker, and credits are attached to results as they are earned, ready for deposit to the ABC against the student’s APAAR ID.

How are revaluation requests handled?

Revaluation requests are recorded against the result they relate to, and any change in marks keeps the previous value in the revision history, so a changed grade can always be traced to a person.
