See what dashboards change at your institution
Before vs. after adding dashboards to iVake
Where you are today
Holding you back
Figures built every Friday
Someone pulls exports from three offices into a spreadsheet that is out of date by the time it is read on Monday.
Pain point
Patterns seen a month late
A section’s attendance has been falling for weeks, and the head of department finds out from a printed monthly report.
Pain point
Overlaps nobody connects
Attendance is one report and fee dues another, so the same students slipping on both are never spotted together.
Pain point
Registers not taken, unnoticed
A class goes without its attendance or marks for days, and it surfaces only when the eligibility list is drawn up.
Pain point
- 3+Offices asked for the same figures
- 2+Spreadsheets joined for one report
- WeeksBefore a pattern is noticed
Your institution, transformed
Everything connected
Read live, not compiled
Attendance, fees, enquiries and results are read from the records as they are written, with no overnight job.
Solved
Each role sees its own scope
A class teacher sees their sections, a registrar sees records and results, and a vice-chancellor sees every campus.
Solved
Overlaps flagged as one
A section under the line whose families are also behind on fees arrives as a single flag, with the reason beside it.
Solved
Gaps visible the same day
Sections not yet marked and marks still to enter show up before the register or the grade book locks.
Solved
- 1Set of figures for every office
- 0Exports built for a report
- Same dayFlags on a slipping section

Operational figures without the waiting
Principals and registrars should not wait for a weekly pack to see what is happening. The dashboard reads attendance, fee collection and enquiries from the live record, and every figure opens the records behind it.
- Attendance by section today, against the target you set
- Fee collection against demand, with overdue instalments by age
- Enquiries this week, and how many are still waiting for a first call
Screens that match each person’s job
A principal and a class teacher answer for different things. Each role gets a screen with only the figures in its scope, and each morning it names what to look at first and why.
- Class teacher: who is missing, what is behind and what locks this week
- Registrar: APAAR verification, results published and certificates due
- Vice-chancellor: accreditation readiness, placements and intake across campuses
Cross-module flags before problems grow
The students most at risk rarely show up in one report. When low attendance, overdue fees and falling internal marks meet on the same record, the dashboard raises one flag to the people who can act on it.
- Students meeting two or more of your criteria listed together for the class teacher and principal
- Sections with registers not marked or marks not entered flagged before the lock
- Thresholds for attendance, marks and dues set by your institution, not fixed in code

Frequently asked questions
Get answers to common questions about dashboards
How is this different from the KPI Dashboard?
This dashboard is for running the day: attendance, fee collection, enquiries, marks still to enter and students at risk, for the people who act on them that day. The KPI Dashboard is for leadership and governing bodies, with trends across years and summaries for board packs and accreditation.
Can we choose what each role sees?
Screens come set up for common roles, such as class teacher, head of department, registrar, principal and vice-chancellor. Your administrators can adjust what each role sees, and alert thresholds such as the attendance line are settings, not code changes.
How current are the figures?
The dashboard reads the live records, not a copy made overnight. A register submitted in the classroom or a fee paid from the app shows up as soon as it is saved.
What stops a head of department seeing another department’s data?
Access is set by campus, department, programme and role, and it applies to the records a screen reads, not only to what is displayed. A head of department’s view draws only on their own department’s students and staff.
Do we need a separate reporting server or data warehouse?
No. Dashboards and reports read the live records, and reports and dashboards are never charged extra. If you also run Power BI or Looker Studio, scheduled extracts and a read replica feed them without loading the live system.
How long does it take to set up?
Roles and permissions are configured during onboarding, which takes roughly four weeks for a school and six to eight for a university or group. Thresholds are agreed with your team in that time, and screens for less common roles can be added afterwards.
Can a group see all its campuses together?
Yes. The group office sees one combined view that drills down to campus and programme, with the same definitions everywhere, while each campus sees its own figures.
Can we take the figures into a meeting or our own tools?
Yes. Dashboard figures can be exported for a meeting or a return, and the REST API covers everything iVake stores if you want the numbers in your own systems.
