See what email marketing changes at your institution
Before vs. after adding email marketing to iVake
Where you are today
Holding you back
Lists exported before every campaign
Someone pulls enquiries into a spreadsheet, fixes broken addresses and uploads them, and anyone who enquired after the export is missed.
Pain point
Four offices, four mailing lists
Admissions, alumni, events and the principal’s office each send from their own tool, so one family gets several emails in the same week.
Pain point
Open rates, but no admissions answer
The email tool reports opens and clicks. Nobody can say how many recipients went on to visit, apply or enrol.
Pain point
Every campaign starts from a blank page
Logos, colours and programme details are rebuilt each time before a word of the actual message is written.
Pain point
- 3+Mailing lists kept by different offices
- 2+Times contacts are exported and uploaded
- WeeksBefore anyone knows what a campaign produced
Your institution, transformed
Everything connected
Audiences read from live records
Segments are filters on enquiries, applicants, parents and alumni, so the list is current at the moment you send.
Solved
One contact, one set of rules
Opt-outs and sending limits apply across every office, so a family is not sent four emails in a week by four senders.
Solved
Results counted in applications
The recipient and the applicant share a record, so a campaign reports the visits, applications and enrolments that followed.
Solved
Templates your team reuses
Approved layouts with your logo and programme details, so each campaign starts from the message rather than the design.
Solved
- 1Record per contact across offices
- 0Lists exported before sending
- 1Opt-out, honoured everywhere

Audiences built from live records, not last week’s export
When a campaign list is a copy, it is out of date the day after it is made. In iVake a segment is a filter on the records admissions, academics and the alumni office already keep, so it is read again when you send.
- Segments on programme, stage, source, campus, batch or class, with no export and upload
- An enquiry who applies moves out of the nurture segment on their own
- Opt-outs and sending limits apply across admissions, alumni and events
Campaigns that follow what each recipient did
A parent who came to the open day needs a different email from one who filled in a form last night. Sequences move on what happens on the record: a visit booked, a form started, a fee paid.
- Sequences that start, wait and stop on stages in the admission record
- Merge fields for name, programme, counsellor and campus visited
- Two versions of a subject line or message tried on part of a segment before the rest is sent
Reports that count applications and gifts, not just opens
An admissions committee does not ask how many people opened an email. It asks how many applied. Because the recipient and the applicant are the same record, a campaign report can answer that.
- Delivered, opted out, visited, applied and enrolled, by segment
- Alumni appeals reported by donors and amounts received through the fee gateway
- Segments compared side by side, so effort goes where the outcomes are

How do segments stay in step with admissions without exporting lists?
A segment is a saved filter on the records iVake already holds, not a copy of them. It is read again when you preview and when you send, so an enquiry who applied this morning has already left the nurture segment and joined the applicant one. There is no export, upload or nightly sync.
Can different offices send campaigns without emailing the same families on the same day?
Yes. Sending limits are set once for the institution, such as a maximum number of campaign emails per contact each week, and they apply to every office. Where two sends would collide, the lower-priority one waits. Each office keeps its own campaigns, but the limits and opt-outs are shared.
How does a campaign report connect to applications, enrolments or gifts?
The person who received the email is the same record as the applicant, the student or the alumnus. So the report counts what happened next on that record: visits booked, applications submitted, offers accepted and students enrolled, and for alumni appeals, gifts received through the same gateway as fees.
How are consent and unsubscribes handled under the DPDP Act?
Consent is captured where the data is collected, with its purpose and a timestamp, and withdrawal is recorded the same way. An opt-out from any email updates the contact for every office at once. Using contact details for a different purpose, such as marketing a new campus years later, generally needs fresh consent, and your institution remains responsible for its own compliance.
Can we test two versions of a campaign?
Yes. Two versions of a subject line or message can go to a share of the segment first, and the version that produces more of the outcome you chose, such as visits booked, goes to the rest. Past results stay with the campaign for the next admission cycle.
Can campaigns be sent to students under eighteen?
Campaigns are normally addressed to parents and guardians. The DPDP Act sets a higher bar for anyone under eighteen, including verifiable parental consent and a prohibition on behavioural tracking and targeted advertising. iVake does no advertising, behavioural profiling or ad-tech tracking of students.
How long does it take to move from our current email tool?
Email marketing goes live with the rest of iVake: roughly four weeks for a school, six to eight for a university or a group with several campuses. Contacts come across with their consent and opt-out status, templates are set up with your logo and colours, and old lists become segments on live records.
Does email marketing replace WhatsApp and SMS?
No. Email sits beside WhatsApp and DLT-registered SMS, which many families read first. Every message, on any channel, is logged against the record it came from, and the same opt-out rules apply.
