The Old Way Transform My Institution

Where you are today

Holding you back

  1. A late fee argued at the counter

A parent disputes a late fee, nobody can show when the demand or the reminder went out, and it is waived to end the conversation.

    Pain point

  2. Paid, but still shown as due

A family paid days ago, the entry sits in the cashier’s register, and the student is held back until someone traces the payment.

    Pain point

  3. Collection pieced together

The month’s figures come from the fee sheet, the counter book, bank messages and the concession list, and still do not match the books.

    Pain point

  4. A concession that never arrived

A scholarship approved by the committee is not applied to the fee account, and the family receives a final notice for money they do not owe.

    Pain point

  • 4+Places a payment might be recorded
  • 2+Times each receipt is keyed in
  • DaysTo confirm a disputed payment

Your institution, transformed

Everything connected

  1. Every reminder on the record

Demands, reminders and receipts are logged against the student with the time they went out and the channel used.

    Solved

  2. Paid means cleared

The receipt is issued the second the gateway confirms, the ledger updates and reminders for that instalment stop.

    Solved

  3. Settlement matched overnight

Gateway settlement files are matched against the fee ledger, and finance opens to a list of exceptions.

    Solved

  4. Concessions applied before the amount

Scholarships, sibling concessions and transport by route are resolved before the family sees what to pay.

    Solved

  • 1Ledger for every payment method
  • 0Receipts written out by hand
  • 1Login for every child in a family

Fee plans built for how institutions actually bill

A fee demand is rarely one number. Tuition, transport by route, hostel and mess, examinations, admission fees and fines are held as fee heads on one plan, which applies itself at admission.

  • Fee heads by programme, class, category or an individual student
  • Sibling concessions, merit scholarships and government reimbursement linked to their approval
  • Instalment plans by term or month, each with its own due date and reminder schedule

Every payment lands in one ledger, matched

Whether a parent pays by UPI at night or a college student pays from the hostel, the money is recorded against the student and posted to one ledger. The settlement file is checked overnight, so the office deals only with what did not match.

  • UPI, cards and net banking through Razorpay, PayU, Cashfree or your bank’s gateway
  • Each payment posts to the student’s ledger and matches the gateway settlement overnight
  • Money settles into your own bank account, as it does today

Families pay from a phone, without calling the office

The fee counter is open while most parents are at work. The app shows each child’s dues, takes the payment whenever it suits the family and sends the receipt at once, and reminders stop without anyone switching them off.

  • Dues, instalments and payment history for every child, with one login per family
  • Reminders gentle at first and firmer after the due date, stopping the second money arrives
  • Receipts sent on WhatsApp or email the moment the gateway confirms

Frequently asked questions

Get answers to common questions about online fee payment

Which payment gateways can we use? Can we keep our bank’s gateway?

iVake works with Razorpay, PayU and Cashfree, and with HDFC and ICICI bank gateways, and records UPI and NEFT references. Money settles into your accounts exactly as it does today. If your bank provides a different gateway, tell us which one and we will confirm how it connects; a custom integration with a system not on our list can be quoted.

How are card and UPI details handled?

The payment is completed on the gateway’s own secure page, and a UPI PIN is entered in the family’s own UPI app, which iVake never sees. iVake receives the gateway’s confirmation and records it against the fee; card numbers are not stored in iVake.

Can families pay in instalments or make part payments?

Yes. Instalment plans are set on the fee plan by term or by month, each with its own due date. A part payment is recorded against the earliest outstanding instalment and the balance updates at once, so instalment ageing shows what is actually still owed.

What happens if an online payment fails?

No receipt is issued until the gateway confirms, so the fee stays due and the balance is unchanged. The failed attempt is logged, and the family can try again from the app or from the payment link in their reminder.

Do fee payments reach our accounting package?

Yes, without re-entry. Each payment posts to the fee ledger under its fee head, the settlement is reconciled daily, and the day book and ledgers export to Tally or Zoho Books in their own format, with the reconciliation already done.

Can a parent with more than one child pay from one login?

Yes. One login covers every child in the family. The parent sees each child’s dues, instalments and receipts, and pays each child’s fees from the same app.

Can late fees be applied automatically?

If your policy has a late fee, the rule is set on the instalment and applied once the due date passes, so nobody works it out at the counter. To check what your rule charges before you set it, try the free Late Fee Calculator.

Does our bank have to change?

No. Money settles into your existing accounts. iVake records each transaction against the student and reconciles the gateway’s settlement file against the fee ledger every day.
