Google Meet Integration

Run online classes on Google Meet straight from the iVake timetable. The meeting is created for the period, enrolled students see it in their app, and who joined is recorded on the same attendance register teachers use in the classroom. Everyone signs in with the Google Workspace account they already have.

Before vs. after connecting Google Meet to iVake

The Old Way Transform My Institution

Where you are today

Holding you back

  1. Links made by hand every week

Teachers create a new Meet link for each class and paste it into an email or a class WhatsApp group.

    Pain point

  2. A substitute sends a new link

When another teacher takes the class, a fresh link goes out and students holding the old one wait in an empty room.

    Pain point

  3. Attendance stuck inside meet

Who joined is visible only in Google Meet, so the register is copied up by hand later, or not at all.

    Pain point

  4. Students hunting for today’s link

Families scroll back through weeks of messages to find the right link, and the class starts late.

    Pain point

  • 3+Places a class link is shared
  • 2+Times online attendance is written down
  • DaysBefore an online absence reaches the register

Your institution, transformed

Everything connected

  1. Links come from the timetable

Each online period gets its Meet link when the timetable is published, without a teacher creating one.

    Solved

  2. Same link when the teacher changes

A substitution or a reschedule updates the period and the invite, not the link students already have.

    Solved

  3. Joins written to the register

Join and leave times land on the attendance register used for classroom periods, against your own thresholds.

    Solved

  4. Today’s class in the app

Students and parents see the period and its link in the iVake app, beside the rest of the timetable.

    Solved

  • 1Link per online period for the term
  • 0Links pasted into group messages
  • 1Register for online and classroom attendance

Online classes that follow the timetable

The timetable already decides when a class happens, so it decides the meeting too. Nobody creates, forwards or re-sends links by hand, and a changed period changes the invite rather than the link.

  • A Meet link created for each online period when the timetable is published
  • The link stays the same through substitutions and reschedules
  • Calendar invites sent to students’ Google Workspace addresses

Attendance from who actually joined

When the class ends, join and leave times from Google Meet are matched to the students enrolled in the section and written to the attendance register, so an online period counts the same way a classroom period does.

  • Join and leave times matched to enrolled students after each class
  • Late joins and early exits marked against the thresholds you set
  • Online absences reach the shortage list and parent alerts like any other

Inside the Google Workspace you already run

Institutions on Google Workspace keep their accounts as they are. Staff and students use the same Google identity they use for mail and Drive, and nobody is issued a separate video login.

  • Sign-in with Google Workspace accounts, created and closed from your directory
  • Set up once by your IT administrator, not per teacher or per class
  • Recordings linked to the class, in a Drive folder the institution owns

Frequently asked questions

Get answers to common questions about Google Meet integration

Do students need a separate account to join online classes?

No. Students join with the Google Workspace account your institution already issues. Sign-in to iVake uses the same identity, so there is nothing new for students to create and nothing extra for IT to hand out.

What does our IT administrator have to set up?

Your Google Workspace administrator approves iVake’s access for the domain once. After that, meetings are created from the timetable; teachers and coordinators never handle credentials or connect their own accounts.

Where are recordings kept, and who can open them?

Recordings stay in Google Drive, in a folder owned by the institution rather than a teacher’s personal Drive, and the link appears against the class for enrolled students. When a teacher leaves, the recordings stay. Whether recording is available depends on your Workspace edition.

What happens when a class is rescheduled or cancelled?

Change the period in the timetable and the calendar invite follows it; the link students already have does not change. A cancelled period withdraws the invite and shows as cancelled in the app, with no message for the teacher to send.

Can we run large sessions such as an orientation or a parents’ meeting?

Meetings are created within the limits of your Google Workspace edition. Participant caps and live streaming depend on the edition you hold, so check with your Google administrator before scheduling a large event.

How does attendance from Google Meet work?

After the class ends, join and leave times are read from Google Meet and matched to the students enrolled in the section. Present, late and left early are worked out against your thresholds, and the result sits in the same attendance register as classroom periods.

What student data does Google receive?

Meetings run on your institution’s own Google Workspace, under your agreement with Google. iVake passes only what a meeting needs, such as the class, the time and the enrolled students’ Workspace addresses, and every meeting it creates or changes is written to the audit trail.
