The Old Way Transform My Institution

Where you are today

Holding you back

  1. Routes redrawn by hand each year

Stops and pick-up times are rebuilt in a spreadsheet before term, and a route that does not work is found out from parents.

    Pain point

  2. The office fielding “where is the bus”

In the first weeks of term the front desk spends its mornings answering calls about bus timings and stops.

    Pain point

  3. Driver and vehicle papers in a file

Licences, fitness certificates and insurance are checked by hand, so an expiry is noticed after the date has passed.

    Pain point

  4. Breakdowns handled by phone

When a bus breaks down, parents at every stop wait without news while the office rings round for another vehicle.

    Pain point

  • 3+Lists for routes, riders and vehicles
  • DailyCalls asking where the bus is
  • WeeksBefore a lapsed document is noticed

Your institution, transformed

Everything connected

  1. Routes and stops on the record

Each route holds its stops, times, vehicle and riders, and a student’s change of address flags the route it affects.

    Solved

  2. The bus on the parent’s phone

Parents see the live position and arrival time for their own child’s route, so the most frequent call to the front desk stops.

    Solved

  3. Documents kept with their dates

Driver, attendant and vehicle documents sit on the record, with reminders before each one lapses.

    Solved

  4. Delays told to the whole route

When a bus is running late or breaks down, every family on that route can be told at once.

    Solved

  • 1Record for route, rider and fee
  • 0Transport charges re-typed
  • LiveBus position for each family

Route planning built on real student addresses

Plan each route from the students who actually ride it: their stops, their timings and the seats on the vehicle. When a student joins, leaves or moves house, the route that serves them is flagged.

  • Routes with ordered stops, pick-up and drop times, and the vehicle, driver and attendant assigned
  • New admissions, withdrawals and address changes flag the routes they affect
  • Riders counted against each vehicle’s seats before the route is confirmed

Driver and vehicle records that flag expiry in time

Keep every driver’s licence and every vehicle’s fitness certificate, permit, insurance and PUC on the record, with a reminder before each date passes rather than after an inspection finds it.

  • Driver and attendant profiles with licence, police verification and training dates
  • Vehicle records with registration, fitness certificate, permit, insurance, PUC and service history
  • Reminders ahead of each expiry, and a driver with a lapsed licence cannot be put on a route

Parents who know where the bus is

Put the bus on the parent’s phone. Families see their child’s bus and when it will arrive, are told when their child boards, and hear about delays without calling the transport office.

  • Live position and arrival time from the bus GPS tracker, shown only for the family’s own route
  • Boarding and alighting scans, so a child who did not get on is flagged before anyone waits at the gate
  • Delay and breakdown messages to every family on the affected route

Frequently asked questions

Get answers to common questions about transport management

How are mid-year admissions and address changes handled?

Transport reads the same student record as admissions. When a student joins, leaves or changes address, the routes that serve them are flagged. The transport coordinator assigns the new stop, and the parent app shows the updated route and timing.

Can parents see where the bus is, and how are delays communicated?

Yes. The parent app shows the live position and arrival time of their own child’s bus, and boarding is scanned so parents know their child is on it. When a bus is running late or breaks down, the transport office can message every family on that route by WhatsApp, SMS or the app.

Which driver and vehicle documents are tracked?

Driver and attendant records hold the licence, police verification and training dates. Vehicle records hold registration, fitness certificate, permit, insurance, PUC and service history. Reminders go out before each document lapses, and a driver whose licence has expired cannot be assigned to a route.

How does transport billing connect to the fee account?

Transport is billed by route on the same fee ledger as tuition, so it appears on the parent’s fee screen and receipt with everything else. If a student stops using the bus during the term, the charge is adjusted according to the policy you set.

What reports help with the transport budget?

Reports combine ridership, seat use, fuel and maintenance costs by route and vehicle, so you can see which routes run half-empty and which vehicles cost most to keep on the road. They read live records rather than fuel slips and registers.

Which GPS devices work with iVake?

Bus GPS trackers are among the devices iVake connects to. Tell us the model your vehicles use during evaluation; for anything specific to you there is a documented REST API. Whatever the device, parents only ever see their own child’s route.

Can boarding be scanned with the ID cards students already carry?

Boarding and alighting are recorded on the bus, so the record shows who got on and off, where and when. Where students already carry RFID or smart ID cards, those cards can be used for the scan.
