The Old Way Transform My Institution

Where you are today

Holding you back

  1. News scattered across departments

Each department sends its own emails and WhatsApp forwards, so students follow none of them and miss the ones that matter.

    Pain point

  2. Everyone gets everything

A change to day scholars’ bus timings reaches hostel residents too, and people learn to ignore institutional messages.

    Pain point

  3. One story, written four times

The communications team rewrites the same item for the website, an email, an app message and the screen in the foyer.

    Pain point

  4. No proof a policy reached students

When a peer team asks how students learned of a revised attendance rule, the office has a sent email and no record of who read it.

    Pain point

  • 5+Channels carrying the same news
  • 3+Versions written of every story
  • 0Record of who read a policy change

Your institution, transformed

Everything connected

  1. One portal, one editorial queue

Departments submit, the communications office reviews, and approved stories appear in one place.

    Solved

  2. News by role and programme

Campus, programme, batch, section and role come from student and staff records, so each person sees what applies.

    Solved

  3. Written once, sent everywhere

An approved story goes to the portal, the app and the email digest from one publish action.

    Solved

  4. Readership on record

Each story shows its target audience and who opened it, with dates, for the policy file.

    Solved

  • 1Editorial queue for every department
  • 0Mailing lists kept by hand
  • 1Publish action for every channel

Ready to make the switch? See how it works for your institution.

One editorial queue for every story

When every department publishes on its own, the institution speaks with a dozen voices. A single queue lets the communications office decide what goes out, when, and how prominently.

  • Departmental submissions reviewed and approved before they reach the portal
  • Style and brand checked at the editing stage, whichever department wrote the story
  • Priority levels, so a policy change is not placed beside a sports fixture

News targeted from the records you already keep

A first-year student and a professor share a campus but very little of the same news. The portal reads campus, programme, batch, section and role from iVake, so nobody maintains a mailing list.

  • Audiences built from enrolment, programme, year, transport route and staff department
  • A student who changes programme or section sees the news for the new one without re-subscribing
  • Staff see policy, department and governance news, not orientation reminders

Publish once, reach every channel

Posting one item to the portal, an email, the app and a text message should not be four separate jobs. Each channel takes the version it needs from the same approved story.

  • One approved story sent to the portal, the app and the email digest together
  • Each channel gets a length that fits: headline, summary or full article
  • A daily or weekly digest instead of one email for every story

Frequently asked questions

Get answers to common questions about the news portal

How does the portal know what to show each student without mailing lists?

It reads campus, programme, year, batch and section from the student record, and department and role from the staff record. When a student moves programme or section, what they see changes with the record, not with a list someone edits by hand.

Can departments still publish their own news?

Yes. You can route every story through the communications office, or let departments with their own editors publish within their scope while institution-wide stories still need central approval. Each story records who wrote, reviewed, approved and published it.

How does one story go out on different channels?

Each channel has its own template. The portal carries the full story, the email digest a headline and short summary with a link, and the app notification a short headline. Editors can adjust any channel’s version before publishing.

Can we show that a policy change reached students?

For each story you can report the audience it was sent to, how many opened it, what share of the audience that was, and when. For changes such as attendance or examination rules, that is a record of what was communicated, to whom and when, which says more than an email send log.

Do departmental newsletters have to stop at launch?

No. The portal can run alongside them while the readership figures show departments which route reaches their audience. A department that still wants a newsletter can send it as a digest through the same editorial queue.

How do we avoid flooding students with notifications?

The institution decides which categories and priorities may send a notification, typically urgent policy changes, deadlines and closures. Within that, each person chooses what they are notified about, and every story stays on the portal. Emergency notices such as a campus closure can be set to reach everyone.

Can parents see school news too?

Yes. Stories can be aimed at parents by class and section and appear in the parent app, which has one login for every child in the family, next to attendance, results, fees and notices.
