The Old Way Transform My Institution

Where you are today

Holding you back

  1. Figures collected from three offices

Someone spends days each month asking admissions, accounts and the exam cell for numbers, then reconciles them in a spreadsheet.

    Pain point

  2. One number, no breakdown

The board sees an overall attendance or pass figure, but not which campus, programme or section is pulling it down.

    Pain point

  3. Years of data rebuilt for a visit

A peer team asks for several years of figures by programme and category, and the answer is pieced together from old files with different headings.

    Pain point

  4. Accounts sees intake too late

A shortfall in admissions reaches the finance view only when fees fail to arrive, after the time to act has passed.

    Pain point

  • 3+Offices asked for the same figures
  • 2+Versions of one number in a meeting
  • WeeksBefore the report is current

Your institution, transformed

Everything connected

  1. Read, not reported

Every dashboard reads live records with no overnight job, so the figure in the meeting is today’s.

    Solved

  2. From headline to section

Group dashboards drill down to campus and programme, and each figure opens the records behind it.

    Solved

  3. Evidence already collected

NAAC criterion data, outcome attainment and AISHE returns come from the same records, year after year.

    Solved

  4. Where two problems meet

A section slipping on attendance whose families are also behind on fees arrives as one flag, not two reports.

    Solved

  • 1Set of figures for the board pack
  • 0Numbers keyed in for a report
  • 1Screen for each role

One set of figures for every leadership role

When the principal, the director and accounts each bring their own numbers, the meeting argues about data instead of deciding. Each role opens one screen built from the same records, scoped to what that role may see.

  • A principal’s view of attendance, fee collection and enquiries, and where they overlap
  • A registrar’s view of APAAR verification, results published and certificates due
  • A vice-chancellor’s view of NAAC readiness, placements and intake across campuses

From the headline number to the records behind it

An overall figure says little on its own. Open it to see the campus, programme and section behind it, and then the students themselves, without asking anyone to run a query.

  • Drill from the group to campus, programme, section and student
  • This term compared with last term on the same definitions
  • Measures that cross the threshold you set are flagged with the reason beside them

Accreditation and board reports from records you already hold

When NAAC or the university asks for several years of figures by programme and category, the answer should be a report you run. The figures come from the same records every year, so a new request is a reporting change, not a project.

  • NAAC criterion-wise data and CO/PO/PSO attainment from live grade books
  • AISHE, AICTE and university returns generated from the same student record
  • Scheduled extracts to Power BI or Looker Studio for your own analysis

Frequently asked questions

Get answers to common questions about the KPI dashboard

Which measures are on the dashboard, and can we add our own?

Each role starts with the measures its work depends on: attendance, fee collection and dues, enquiries and applications, results and grade books, APAAR verification, placements and accreditation readiness. Measures particular to your institution are set up during implementation.

Who decides what each role can see?

Access follows the same settings as the rest of iVake: campus, department, programme and role. A teacher sees their own sections, a principal sees the institution and a vice-chancellor sees every campus. Nobody can widen their own view.

How does drill-down work?

Every figure links to the records behind it. Open the attendance figure to see it by campus, then programme, then section, then the students and the periods they missed. Fee, admission and result figures open the same way.

Can it produce figures in the format NAAC, NBA or AISHE asks for?

iVake holds NAAC criterion-wise data and supports the Self-Study Report, computes CO/PO/PSO attainment from live grade books, and generates AISHE, AICTE and university returns from the same records. When a manual changes, it is a reporting change, not new data entry.

What happens when a measure crosses a threshold?

The role responsible sees it flagged each morning with the reason, such as a section under 90% for six days whose students are also behind on fees. Attendance shortages are checked every day against your own threshold, and parents are told the same day.

Do we need a separate data warehouse or BI tool?

No. Every dashboard reads live records, with no overnight job. If your team already uses Power BI or Looker Studio, scheduled extracts or a read replica feed it from the same data.

Can a group with several campuses see one combined view?

Yes. Each campus keeps its own programmes, fee structure and admissions team, and the group office sees one combined view where a term such as “application” means the same thing everywhere, drilling down to campus and programme.

Are reports and dashboards charged separately?

No. Reports and dashboards are never charged extra at any price band, and neither are additional staff logins.
