See what sales management changes at your institution
Before vs. after adding sales management to iVake
Where you are today
Holding you back
Every department its own spreadsheet
Training, consultancy, facility hire and events each track income their own way, and finance waits weeks to put the picture together.
Pain point
Forecasts built from emailed sheets
Expected income is assembled by hand, so work under negotiation in one department is missing from the total.
Pain point
Two quotes to the same organisation
Two departments quote one company on different letterheads, with different discounts and payment terms.
Pain point
Quotations written from scratch
Each quote is drafted from past prices someone remembers, approved informally and sent as a PDF days later.
Pain point
- 3+Tools tracking income beyond fees
- 2+Times each deal is retyped
- WeeksBefore finance sees the total

One pipeline across every income-earning department
When training, consultancy, facility hire and events feed one pipeline, the finance office stops assembling forecasts from sheets that arrive at different times.
- Every opportunity with its stage, likelihood, value, expected date and owner, in one view
- Expected income weighted by stage, by department, month and quarter
- One account per organisation, showing a training agreement and an auditorium booking together
Quotations with pricing rules built in
When every quote draws on one catalogue with approved rates and discount limits, the institution stops sending conflicting quotes to the same organisation.
- A catalogue of services with standard, group, returning-client and partner rates
- Small discounts applied directly; larger ones sent to the head of department or finance
- Quotes issued as PDFs on your letterhead with terms, payment schedule, validity and acceptance
Quote to invoice to ledger without retyping
When an accepted quote becomes the order and the invoice, and payment posts to the books, the gap between agreeing the work and collecting the money narrows.
- An accepted quote becomes a confirmed order and a GST invoice with the same lines, rates and terms
- Milestone invoices for longer engagements, raised when each stage is marked complete
- Recurring invoices for hire agreements and programmes billed by term, paid by UPI, card or net banking

Frequently asked questions
Get answers to common questions about sales management
How are different rates handled for different kinds of client?
Each service in the catalogue can carry several rates, such as standard, group, returning client and partner. When a quote is created, the rate that matches the client’s category and the quantity is picked automatically. Choosing a lower rate sends the quote for approval, and the rate table is kept by finance rather than by each department.
Can departments keep their own services while sharing one pipeline?
Yes. Each department adds and maintains its own services, while rate rules, discount limits and payment terms follow policy set by finance. Departments see their own opportunities by default and finance sees all of them. A company that books both training and the auditorium can have both on one quote, or on linked quotes under the same account.
How do discount approvals work without slowing quotes down?
Discounts within the band you pre-approve apply at once, with a reason chosen from a list. Larger discounts go to the head of department, and the largest to finance, each seeing the amount, the reason, the client’s history and the value of the work on one screen. An approval left waiting moves to a deputy, and the person quoting can see where it is.
What reports are there for management and the governing body?
The pipeline summary shows value by stage and department, with weighted figures for the coming quarters. Income reports break down won work by department, service, client and period against last year, and win and loss reports show close rates and the reasons work was lost. Reports export to PDF or a spreadsheet.
How are multi-year agreements handled?
A multi-year agreement is recorded once with its billing schedule, by year or by term. Each invoice is raised on its date at the rate the agreement fixed, even if the catalogue rate has changed since. Agreements nearing their end are flagged in advance, and a renewal opportunity is created for the same owner.
Does this income reach our accounts and GST reports?
Yes. Invoices and receipts post to the ledger in iVake, payments can be taken through the same gateways as fees, and the day book and ledgers export to Tally or Zoho Books in their own format. GST on each invoice is recorded for your GST reports.
How long does it take to go live?
Sales goes live with the rest of iVake: roughly four weeks for a school, six to eight for a university or a group with several campuses. Service catalogues, rates, discount limits and quote templates are set up during configuration, and open quotes and active agreements come across in migration.
