See what faculty management changes at your institution
Before vs. after adding faculty management to iVake
Where you are today
Holding you back
Staff files in several places
Appointment letters sit in the office, qualifications in a folder and subject allocations in a department spreadsheet.
Pain point
Load shared out by feel
Some teachers carry far more periods than others, and nobody can show the figures when the imbalance is questioned.
Pain point
Cover arranged by phone at dawn
A teacher calls in sick and the head of department messages colleagues until someone agrees to take the class.
Pain point
Publications gathered at the last minute
Research and qualifications are collected in a survey just before an accreditation visit, and much of the evidence is missing.
Pain point

- 2+Times staff data is re-entered
- WeeksTo assemble faculty evidence
Your institution, transformed
Everything connected
One record per staff member
Profile, appointment, qualifications, subjects, leave and payroll on the same file.
Solved
Teaching load you can see
Periods and sections per teacher are counted from the timetable, so an imbalance is visible before the term starts.
Solved
Cover arranged on the timetable
A substitution is made against the timetable and appears in the substitute’s app with the class and room.
Solved
Evidence recorded as it happens
A publication is added against the teacher when it appears, and counts towards the criterion it supports.

Fair teaching loads, backed by figures
When loads are uneven, the teachers you most want to keep are usually the ones carrying the extra. Counting load from the timetable makes the distribution visible, so it can be put right before it becomes a grievance.
- Periods, sections and credits per teacher, counted from the published timetable
- A warning when an allocation takes a teacher past the maximum load you set
- Substitutions arranged against the timetable, so cover does not always fall to the same people
Qualifications and publications ready for accreditation
Peer teams and regulators ask who taught each course and what qualified them to teach it. When qualifications, appointments and publications are recorded against the teacher as they happen, the answer is a report rather than a survey.
- Degrees, certificates and experience on the staff profile, with documents attached
- Publications recorded against the teacher when they appear, with the DOI
- Faculty data read into NAAC criteria and AISHE and AICTE returns from the same records
Less chasing for heads of department
Heads of department should be leading teaching, not confirming who is free in period three. Leave, cover and exam duty run through the app, and each teacher sees their own day.
- Leave applied for and approved in the app, with the attendance register updated
- Substitutions, assessment deadlines and exam duty sent to the teacher concerned
- Payslips and campus check-in on the same staff record

Frequently asked questions
Get answers to common questions about faculty management
How does faculty management connect with payroll and leave?
They run on the same platform. Approved leave updates the attendance register, campus check-in from a phone is recorded against payroll, payslips reach staff in the app, and TDS and payroll filing exports come from the same records.
Can teachers update their own profiles?
Yes, for the fields you allow. Teachers can update contact details and upload documents such as certificates, while changes to sensitive fields wait for approval. Every change is written to the audit trail with the previous value.
How is teaching load worked out?
Load is counted from the published timetable: periods a week, sections and, for colleges, credits, including substitutions taken. You set the maximum for each type of appointment, and heads of department are warned when an allocation goes past it.
How are faculty appraisals handled?
Appraisal records sit on the staff profile, so a review can draw on the teaching load, the subjects taught and the publications already recorded rather than on memory. The review steps and who approves them are set by your institution.
Can we record research and publications?
Yes. A publication is entered against the faculty member when it appears, with the DOI, and is filed against the accreditation criterion it supports, so nobody collects it in a survey two years later.
What about visiting and part-time faculty?
Each staff member has an appointment type, such as regular, visiting or guest, with its own load limit and the dates of the appointment. Visiting teachers see only their own classes in the app.
How do staff get access, and lose it when they leave?
Staff sign in with Google Workspace, Microsoft Entra ID or SAML, and accounts are created and closed from your directory, so a departure removes access immediately. Extra staff logins are never charged.
Can we bring in our existing staff records?
Yes. Staff records are migrated alongside students, results and fee ledgers during onboarding, from your current system or spreadsheets, and reconciled with you before go-live.
