The Old Way Transform My Institution

Where you are today

Holding you back

  1. Subscriptions with no clear usage

Each e-resource reports use in its own portal and on its own terms, so renewal decisions are made on a hunch.

    Pain point

  2. Reading lists that are only titles

Students are told what to read but not where to find it, and many give up before they get past a login page.

    Pain point

  3. Readings passed around in drives

Teachers share PDFs in drives and groups, outside the library and outside the terms the institution agreed to.

    Pain point

  4. Access that outlives enrolment

Students who have left still reach course resources, because nothing links the library to the student record.

    Pain point

  • 3+Portals and logins a student juggles
  • 2+Copies of the same reading in circulation
  • MonthsAccess stays open after a student leaves

Your institution, transformed

Everything connected

  1. Usage in one place

Every open of a material is recorded with its programme and subject, so renewals rest on evidence.

    Solved

  2. Reading lists that open

Materials attached to a subject appear for enrolled students, one tap from the reading list.

    Solved

  3. One catalogue for every format

E-books, journal links, videos and faculty uploads sit in the library, catalogued once.

    Solved

  4. Access that follows enrolment

When a student joins, changes subject or leaves, their access changes with the record.

    Solved

  • 1Catalogue for every format
  • 1Login, the student’s own
  • Same dayAccess updated when enrolment changes

Access that follows the student’s enrolment

Students should reach the right materials for their subjects without new accounts or a list of portals. Access opens with enrolment in a subject and closes when the term or the enrolment ends.

  • Materials attached to a programme or subject appear for every enrolled student
  • Access dates tied to the academic calendar, so access ends with the term
  • Individual access granted by the librarian for projects, dissertations or staff

Usage data that settles renewal decisions

Instead of separate reports from every provider, the librarian sees in one place which materials were opened, by which programmes and how often. Renewal conversations start from evidence rather than guesswork.

  • Each open recorded with programme, subject and date
  • Ratings and reviews from students and staff show which resources earn their place
  • Usage by department ready for the library part of an accreditation file

One catalogue for every format

E-books, journal links, lecture videos, audio and faculty uploads are catalogued once with the same details, so a student searches once and finds everything on the topic.

  • PDF, EPUB, video, audio and links to subscribed resources in one catalogue
  • Categories by department, subject or programme level, arranged the way your institution works
  • Tags that let one resource sit under several subjects, with authors and publishers searchable

Frequently asked questions

Get answers to common questions about the digital library

What is the digital library in iVake?

It is a catalogue of e-books, journal links, videos, audio and faculty uploads, opened to students by the programmes and subjects they are enrolled in. It sits alongside the physical library, where issues, returns and fines are already kept on the student record.

How does it connect with the rest of iVake?

Access reads enrolment from the student record and dates from the academic calendar. Materials are attached to subjects set up in course management, and staff and students sign in with the login they already use, including Google Workspace, Microsoft Entra ID or SAML.

Is it included in the price?

The library is included in the per-student price for campus operations, with no charge per login. Subscriptions to publishers’ e-resources remain your own, paid to the publisher as they are today.

Can we organise it our own way?

Yes. Categories, tags, subjects and access rules are settings your librarian controls, arranged by department, subject, programme level or accreditation need, not custom code.

Does it replace our e-resource subscriptions?

No. Subscribed databases and journals stay with their providers; the catalogue links to them so students find them from one place. Your institution remains responsible for keeping to the licence terms of each resource.

What happens when a student leaves or changes subject?

Access follows the enrolment on the record, so it changes the same day. A librarian can grant individual access for a dissertation, a project or a member of staff, and every grant is logged.

Can usage figures support NAAC?

Usage by department, subject and term can be exported for the library and learning resources part of NAAC Criterion 4, rather than counted by hand at the end of the year.

What support do we get while setting it up?

Onboarding includes configuration, role-by-role training and a named implementation manager, and an existing catalogue can be imported rather than keyed in again. Support tickets are never charged extra.
