Who we are

iVake builds and operates the software described on this site. We act as the data controller for information you send us through this website, and as a processor for the institutional data our customers hold in the platform.

Data you give us through this website

When you submit the demo request form, we collect your name, role, work email and phone number. We also collect your institution's name and type, roughly how many students you have, and anything you write in the message box.

We use it only to answer your enquiry, arrange and run the demonstration, and follow up afterwards. We do not sell it. We share it only with the service providers that host our systems and send our email for us.

We keep enquiry records while a conversation is active, and for a reasonable period afterwards. You can ask us to delete yours at any time. Write to the address above.

Data we process for institutions

When an institution uses iVake, that institution decides what student, parent and staff data goes in, and why. We process it on their instructions, under a data processing agreement.

Are you a student, parent or staff member at an institution that uses iVake? To see, correct or delete your records, contact your institution directly. They control that data, and we will help them respond to you.

• Production data and backups are hosted in the region the institution is in, and are not moved out of it
• Access is role-scoped and every read and write is logged
• Institutional data is not used to train shared models and is not pooled across customers
• Institutions can export all of their data, in open formats, at any time

Cookies

This website uses only what it needs to work, and we ask your consent before setting any non-essential cookie. The cookie banner has two switches, both off until you turn them on:

• Analytics. Google Analytics, which tells us which pages people find useful and which they leave, and Microsoft Clarity, which records how pages are used — where people click and how far they scroll — so we can see what is confusing. Google Analytics sets cookies beginning “_ga” and Clarity cookies beginning “_clck” and “_clsk”. Both send your page views, approximate location and device type to servers outside India. Switch analytics off again at any time from Cookie preferences in the footer, and we stop both and clear their cookies.
• Live chat. Runs on iVake’s own server, not a third party’s. See the section above.

Decline both and nothing beyond the site itself is loaded, with one exception on one page, below.

The demo booking form is protected by Cloudflare Turnstile, which checks that a booking comes from a person and not a script — without it, anyone could fill our calendar with fake appointments. It runs only on the booking page, and whether or not you switch analytics on, because it is part of the form working rather than something we measure. Usually it does nothing you can see; now and then it may ask you to tick a box. It looks at your browser and connection to make that judgement, sends them to Cloudflare, and does not set tracking cookies.

Your rights

Under Indian law, including the Digital Personal Data Protection Act 2023, you can ask for a copy of the personal data we hold about you. You can also ask us to correct it, ask us to delete it, or withdraw a consent you gave earlier. Write to privacy@ivake.com and we will respond within the period the law allows.

Website terms of use

This website exists to give you information about iVake. Product descriptions, example figures and screenshots may change without notice, and none of it forms part of a contract. What we commit to is set out in the agreement signed with your institution.

Trade marks, institution names and logos shown on this site remain the property of their respective owners and are used with permission where they identify customers.

Live chat

The chat window on this site runs on software we host ourselves (Chatwoot), on a server we rent in Singapore. It stores the conversation, your name and email if you give them, and technical details such as the page you were on. No chat provider sits in the middle. It loads only after you switch on live chat in the cookie banner or press the chat button. We use what you send to answer you and to follow up on your enquiry, and you can ask us to delete it by writing to privacy@ivake.com. Note that this is the website’s own chat: records belonging to institutions that use iVake are held separately, in India. If you would rather not use chat, the demo form and email reach the same people.

Please do not send confidential information through the website form. If you need to share something sensitive before a demonstration, tell us. We will arrange a secure channel and an NDA.
