The Old Way Transform My Institution

Where you are today

Holding you back

  1. Decided before anyone was asked

A change to bus timings is approved before parents are consulted, and reversed a fortnight later once the complaints arrive.

    Pain point

  2. Votes counted from a group chat

A staff committee votes by replying in a group. Some reply twice, some reply privately, and nobody agrees on the final count.

    Pain point

  3. Surveys too slow for the decision

A formal feedback form takes weeks to draft, circulate and tabulate, long after the meeting that needed it.

    Pain point

  4. Everyone ignores the form

A long form sent to the whole institution gets few replies, and those come from whoever still opens them.

    Pain point

  • 2+Tallies of one vote that do not agree
  • 3+Groups and forms to chase for replies
  • WeeksBefore feedback reaches a decision

Your institution, transformed

Everything connected

  1. Asked before it is decided

A two-question poll goes out in the morning, and the committee sees the result at its afternoon meeting.

    Solved

  2. One vote per person

Each eligible person votes once, and the count is the same for everyone who reads it.

    Solved

  3. Minutes to set up

A question, the options, who can vote and a closing time. No form to design and no list to build.

    Solved

  4. Short, targeted, answered

Polls go only to the people they concern, in the app they already open, so the replies come from the right group.

    Solved

  • 1Vote per eligible person
  • 0Lists to build or votes to tally by hand
  • Same dayResult in front of the committee

Fast feedback without the overhead of a survey

When a decision needs input by the next meeting, a formal survey is the wrong tool. A poll takes minutes to set up and reaches the people it concerns in the app they already use.

  • A question, options, voting rules and a closing time, set up in a few minutes
  • Published to the parent, student or staff app the moment it goes live
  • Audiences by class, programme, department, route or role, from current records

Committee votes with a count nobody disputes

Votes taken in a group chat end in arguments about the count. A poll with a fixed window, one vote per member and a named record gives the committee secretary a tally that stands up at the next review.

  • A fixed voting window with a hard close, so late votes cannot reopen the count
  • One vote per member, enforced by the system rather than by trust
  • For named polls, who voted and when, exportable for the minutes

Pulse checks before and after a decision

A survey after a change tells you what went wrong once it is too late to fix. A poll before the proposal is final shows where the objections are, and the same question asked again later shows whether the change worked.

  • Polls before a proposal goes to committee, while it can still be changed
  • A follow-up poll after a change, to see whether it did what was intended
  • The same question repeated each term, with results side by side

Frequently asked questions

Get answers to common questions about polls

How do we send a poll to one group, such as hostel residents or a committee?

Choose the audience from records iVake already holds: class, section, programme, department, role, hostel, transport route or committee membership. A student who moves out of the hostel stops receiving hostel polls without anyone editing a list.

Can votes be anonymous?

Yes, or named, set for each poll. Named voting suits formal committee decisions where the minutes need a record. Anonymous voting suits feedback where honesty matters more than attribution. The choice is fixed once the first vote is cast, so responses cannot be unmasked later.

What if someone votes and then wants to change it?

The first vote stands and a second one is refused. If a member made a genuine mistake, the poll owner can reset that one vote while the poll is still open, and the reset is logged with who did it and when.

Will polls add to survey fatigue?

Polls work when they are short, specific and closed within a few days. Keep them to a few questions on a decision that is close, and watch the response rate across polls from the same office: a falling rate is the sign to ask less often.

Can we export results for a management meeting or an IQAC file?

Yes. A poll exports while it is open, after it closes, or from the archive, with the question, the options, the counts, the response rate against the audience and, for named polls, the record of who voted. Past polls are searchable by date, owner, audience and title.

Can the same poll run every term?

Yes. Set it to repeat each month, term or academic year for the same audience. Each round keeps its own responses, and the results are shown side by side, so a change from one term to the next is easy to see.

What is the difference between a poll and a survey?

A poll is a few questions on a current decision, answered in under a minute and closed within days. A survey is a longer set of questions, such as course feedback or an exit survey, run on a cycle. iVake has both, reading the same records.
