Connected Campus

Moodle integration

Your faculty keep teaching in Moodle. iVake sends Moodle the students, courses and enrolments it needs, and brings grades and completion back to the student record, so nobody maintains the same data in two systems by hand.

  • No credit card required

The Old Way Transform My Institution

Where you are today

Holding you back

  1. Accounts created twice

A student admitted in the office is added to Moodle by hand, and a student who leaves is removed from one system but not the other.

    Pain point

  2. Grades typed across

Faculty mark in Moodle, someone exports a spreadsheet, and someone else keys it into the marks register, every term, for every subject.

    Pain point

  3. Two attendance registers

Online activity sits in Moodle, the official register sits elsewhere, and the two never agree when eligibility is worked out.

    Pain point

  4. Course structures built twice

Subjects and sections set up in the office are rebuilt in Moodle, and a change in one never reaches the other.

    Pain point

  • 2Places every student account is created
  • Every termGrades exported and keyed in again
  • DaysReconciling attendance before exams

Your institution, transformed

Everything connected

  1. Accounts follow the record

A student enrolled in iVake gets a Moodle account; a student who leaves is suspended there, with their work kept.

    Solved

  2. Grades come back on their own

Moodle grade book scores, assignment marks and quiz results arrive on the student record on a schedule.

    Solved

  3. One register, in the direction you choose

Attendance comes from Moodle, goes to it, or both, set once for your institution.

    Solved

  4. Courses created from iVake

Programmes, subjects and sections set up in iVake appear in Moodle as courses and groups.

    Solved

  • 0Duplicate student accounts to create
  • 1Student record behind both systems
  • 0Grade spreadsheets passed between offices

Each system keeps the data it is built for

iVake holds the administrative record: students, staff, programmes, subjects and enrolments. Moodle holds the learning: content, assignments, quizzes and its grade book. Each side owns its own data, so neither overwrites the other by accident.

  • Students, staff, courses and enrolments sent from iVake to Moodle
  • Grades, quiz results and completion brought back from Moodle
  • Attendance direction chosen once: from Moodle, to Moodle, or both

Grades that reach the record without retyping

Faculty keep marking in Moodle. Grade book scores, assignment marks and quiz results come back to iVake on a schedule, where internal assessment, eligibility and outcome attainment read them like any other mark.

  • Moodle grade book, assignment and quiz results on the student record
  • Course completion status brought back for each student
  • Internal assessment and CO/PO attainment read from the synced marks

Runs unattended, and says when it cannot

The connection uses Moodle’s standard web services, with a token your Moodle administrator creates. Changed records are sent, failed calls are retried and then flagged, and students who leave are suspended in Moodle rather than deleted.

  • Moodle’s standard web services, with no plugin needed for the core sync
  • Failed calls retried, then flagged for review on a health view
  • Withdrawn students suspended, with their grades and submissions kept

Frequently asked questions

Get answers to common questions about connecting Moodle

Does our Moodle need a plugin installed?

The core connection uses Moodle’s standard web services, which your administrator enables and secures with a token. Attendance sync may depend on how you record attendance in Moodle, and we confirm that against your setup.

Which Moodle versions are supported?

Current, supported Moodle releases. We check your version during evaluation, before anything is connected to live data.

Can we connect more than one Moodle site?

Yes. Each campus or faculty running its own Moodle gets its own connection and settings, while iVake keeps one student record across all of them.

What happens if Moodle is offline?

Failed calls are retried on a schedule and then flagged for review, and the connection shows as unhealthy in iVake, so your team sees the problem before students or faculty report it.

Will marks entered in iVake be overwritten by Moodle grades?

For items that sync from Moodle, Moodle is the source, so a mark for the same student and item is replaced on the next sync. Enter those marks in Moodle; marks for work outside Moodle stay as entered in iVake.

Is a student’s Moodle data deleted when they leave?

No. A withdrawn student is suspended in Moodle, so they cannot log in, but their grades, submissions and activity stay where they were.

How long does setup take?

Your Moodle administrator enables web services and creates a token. We map programmes, subjects and sections, then test against a sandbox before anything touches live data. It is scheduled as part of your written rollout plan.

Do we need both an LMS and an ERP?

They do different jobs. An LMS runs the teaching: content, assignments and online assessment. An ERP holds the official record: enrolment, attendance, marks and fees. With Moodle connected, both work from the same student.
