Before vs. after connecting social media to iVake

The Old Way Transform My Institution

Where you are today

Holding you back

  1. Posting by whoever is free

Several people post to the institution’s pages by hand, on no fixed plan, and nobody sees the whole calendar.

    Pain point

  2. Ad spend with no admission attached

Money goes into social campaigns, but nothing connects a campaign to a student who actually enrolled.

    Pain point

  3. Departments posting their own way

Admissions, departments and clubs run separate accounts, and the fees or dates they post do not match.

    Pain point

  4. Lead forms left in a spreadsheet

Meta lead form entries are downloaded once a week, and many are never called back.

    Pain point

  • 3+Accounts posting without one plan
  • WeeklyLead form downloads, at best
  • NoneCampaigns traced to an enrolled student

Your institution, transformed

Everything connected

  1. One calendar for every account

Posts for each connected account are planned, approved and scheduled in one place.

    Solved

  2. Cost per admission, not per form

The enrolled student and the original campaign share one record, so spend is measured all the way to admission.

    Solved

  3. Departments submit, admissions approves

Departments draft posts, and the admissions or marketing office reviews them before they go out.

    Solved

  4. Leads straight into the queue

Meta and Google lead forms arrive in the enquiry inbox with campaign and cost attached, and duplicates are caught on arrival.

    Solved

  • 1Calendar for every connected account
  • 1Record from campaign to enrolment
  • 0Lead form spreadsheets

Content planned across every account

Plan and schedule posts for the institution’s social accounts from one calendar, with permissions that decide who can publish directly and who must send a post for approval first.

  • One calendar for Facebook, Instagram and LinkedIn posts
  • Departments submit posts for approval before they go live
  • Shared templates and approved images keep fees, dates and names consistent

Leads captured with their source

Enquiries from Meta and Google lead forms and your website land in the admissions inbox with the campaign, medium and cost attached. The source stays on the record through application and enrolment, so nobody reconciles spreadsheets afterwards.

  • Facebook and Instagram lead forms create enquiries without a download
  • Campaign tags carried from the first click to the enrolled student
  • Duplicates caught on arrival, and each enquiry routed to a counsellor by rule

Spend measured all the way to admission

Likes do not fill seats. Because the enrolled student and the original campaign share a record, iVake reports cost per enquiry, per application and per admission by source, so budget moves towards the channels that produce students.

  • Cost per enquiry, application and enrolled student, by campaign
  • Conversion at every stage by source, programme and counsellor
  • Reach and engagement for each connected account shown alongside

Frequently asked questions

Get answers to common questions about social media integration

Which social platforms can we publish to?

Facebook Pages, Instagram business accounts and LinkedIn pages can be connected, each on its own, and managed from the same calendar. A post can be written once and adjusted for each account, or written separately for one.

How do Facebook and Instagram lead forms reach the admissions team?

Each submission from a Meta lead form arrives in the enquiry inbox as a new enquiry, tagged with its campaign and source. It is checked for duplicates on arrival and assigned to a counsellor by your rules, so nobody downloads a spreadsheet or checks a separate dashboard.

How is an ad connected to a student who enrols?

The campaign, medium and cost are recorded when the enquiry is created and stay on the record as the applicant applies, pays and enrols. Because it is the same record throughout, cost per admission is read directly rather than joined across two systems.

Are organic posts and paid campaigns managed in the same place?

Posts are planned and scheduled in the content calendar. Paid campaigns are still bought and managed in Meta or Google; what iVake holds is the enquiry each campaign produces, its cost and what happened next.

How does approval work when several departments post?

Each person’s role decides whether their post publishes directly or waits for review. Departments draft, the admissions or marketing office approves, asks for changes or declines with a comment, and every outcome is logged.

What can we show the management committee?

Enquiries, applications and admissions by source and campaign; cost per enquiry, application and enrolled student; and conversion by counsellor. The figures come from the same record admissions and finance use, and export to a spreadsheet or PDF.

Does any of this track or advertise to our students?

No. iVake does no advertising, behavioural profiling or ad-tech tracking of students. Campaigns are the institution’s own, aimed at prospective families, and enquiry data follows the same consent and access rules as the rest of the record.
