See what event management changes at your institution
Before vs. after adding event management to iVake
Where you are today
Holding you back
Sign-ups that match nobody
An online form collects names and phone numbers that do not match the student list, with duplicates and wrong sessions to untangle.
Pain point
A printed list at the entry
Volunteers tick names on a printout while the queue grows, and by evening the headcount is a guess.
Pain point
Every committee, its own tool
Admissions, alumni and the cultural committee each collect registrations and money their own way, and accounts reconciles it afterwards.
Pain point
The reminder goes out late
Messages to families wait on whoever holds the one login that can send them, and some arrive after the event.
Pain point
- 4+Tools used to run one event
- 2+Lists of the same attendees
- DaysBefore the report is written
Your institution, transformed
Everything connected
Registrations tied to real records
Students, parents, staff and alumni register as themselves, so the list has no strangers and no duplicates.
Solved
Attendance taken at the entry
Arrivals are marked from a phone against the registration list, and walk-ins are added to the same list.
Solved
One calendar, one ledger
Every department’s events sit on one calendar, and event fees settle through the same gateways as tuition.
Solved
Messages sent on time
Invitations and reminders go out on WhatsApp, SMS or email by rule, each logged against the record.
Solved
- 1Attendee list, from real records
- 0Registrations typed in twice

Registrations that match the people you already know
When a few hundred students sign up for a fest or a seminar, you should know who they are without matching phone numbers by hand. Registrants are read from the student, parent, staff and alumni records you already keep.
- Registration with free and paid entries, seat limits and a waitlist
- Students and parents register in the app with the login they already have
- Paid entries go through UPI, cards or net banking, with a receipt
Run the day without a printout and a highlighter
The seminar starts in fifteen minutes and the queue at the entry is growing. Volunteers mark arrivals from a phone against the registration list, and the headcount is right before the first speaker has finished.
- Arrivals marked from a phone against the list, with walk-ins added
- Attendance kept per session for multi-day and multi-track events
- Participation written to each student’s record, with the date and hours
An event file that is complete the same week
When the principal or the IQAC coordinator asks how an event went, the answer comes from the records. Attendance, money in and out, the report and the photographs sit together, filed against the criterion the event evidences.
- Proposal, attendance, report and outcome kept together and linked to the criterion
- Fees collected and expenses recorded against the event’s budget
- Feedback forms sent after the event to the people who attended

Frequently asked questions
Get answers to common questions about event management
Can each department run its own events on one institutional calendar?
Yes. Departments, clubs and committees create their own events, with access set by campus, department and role. Every event sits on one calendar, so two functions are not booked into the same hall, and fees and expenses are recorded against the right event.
Can one event have both free and paid registrations?
Yes. An event can offer free entry for your own students alongside paid entry for visitors or other colleges, each with its own seat limit. Paid entries go through the same payment gateways as fees, by UPI, card or net banking.
What happens when an event is full?
Registration closes at the limit you set, and later sign-ups join a waitlist. When someone cancels, the next person on the list is told on the channel they use, and the change is logged.
Can we record attendance for each session of a multi-day event?
Yes. Attendance is kept per session, so you can see who came to the keynote and who stayed for the workshop. Because it lands on the student record, hours from workshops, NSS or extension activities are available later rather than rebuilt.
How do open days and campus visits connect to admissions?
A family registering for an open day or a campus visit becomes an enquiry in admission management, with the visit as its source. Visits and test slots sit on a shared calendar, and whether the family came is logged on the record the counsellor works from.
Can we set up recurring events like weekly club meetings?
Yes. A recurring event creates each meeting from the same settings, and any single meeting can be moved without changing the rest. Attendance is kept per meeting, so turnout across a term is easy to read.
Does event data help with NAAC?
Yes. A seminar’s proposal, attendance, report and outcome are kept together and linked to the criterion they evidence, so the Self-Study Report reads from what was recorded at the time rather than from what can be found later.
Can alumni reunions and chapter meets run here too?
Yes. With alumni management, reunions, chapter meets and campaigns record attendance and contributions against the graduate’s profile, and giving settles through the same gateway as fees.
