Student grievance redressal

Grievance management software that keeps every complaint on one record, from the moment it is raised to the day it is closed. Cases go to the committee or office that handles them, escalate when a deadline slips, and stay in a form your grievance committee, an inspection or a NAAC peer team can read.

The Old Way Transform My Institution

Where you are today

Holding you back

  1. Complaints arrive everywhere

A suggestion box, the principal’s email, a call to the office, a letter to the ombudsperson: each kept in a different file, if it is kept at all.

    Pain point

  2. The date cannot be proven

A harassment complaint reached the Internal Committee as a forwarded message, and nobody can show exactly when it was first received.

    Pain point

  3. Silence leads to duplicates

Students who hear nothing complain again through another channel, and one grievance is counted three times.

    Pain point

  4. Heads hear about it last

A department learns of a complaint in its own area only after it has reached the registrar, a lawyer or social media.

    Pain point

  • 4+Channels with no central record
  • WeeksTo assemble grievance history for a visit
  • 2+Copies of the same complaint

Your institution, transformed

Everything connected

  1. One register for every channel

Online, walk-in, phone or letter, each complaint gets a case number and a timestamp the moment it is logged.

    Solved

  2. An intake date nobody disputes

Status changes, notes and documents are recorded with the person and the time, and cannot be rewritten afterwards.

    Solved

  3. Acknowledged and trackable

The complainant receives the case number straight away and follows progress in the app, so there is no reason to file again.

    Solved

  4. The right office, from the start

Routing rules send each category to its committee or department and tell the head concerned at intake.

    Solved

  • 1Register for every channel
  • 0Case entries rewritten after the fact
  • Same dayAcknowledgement with a case number

A record that holds up at every step

When a peer team or the ombudsperson asks for three years of grievances with dates, owners and outcomes, the answer should be a report, not a fortnight of searching through departmental files.

  • A case number and intake timestamp for every complaint, however it arrived
  • Each status change recorded with the time and the person who made it
  • Documents, notes, interim measures and outcome letters kept on the case with their history

Routing, deadlines and escalation built in

No complaint should sit in an inbox or reach the wrong office because someone did not know who handles what. Routing happens at intake, and the clock starts at the same moment.

  • Categories mapped to owners: Internal Committee, anti-ragging committee, examinations, accounts, hostel
  • Reminders to the handler ahead of the deadline your policy sets
  • Cases with no action escalate to a supervisor and show as flagged on the dashboard

Patterns that point to the real problem

When the same complaint comes from the same department every semester, the evidence is already in the closed cases. Dashboards bring it forward before it turns into a formal inquiry or a remark in a peer team report.

  • Volume by category, department, campus and period, including student groups you define
  • Categories flagged when complaints rise over consecutive periods
  • Time to resolution by category and department, showing where cases wait

Frequently asked questions

Get answers to common questions about grievance management

How are sexual harassment complaints handled?

A harassment category routes straight to the Internal Committee, and only its members can open the case. From intake the record holds the timestamp, the person who logged it and every later action, document and interim measure. iVake keeps the record; the committee and the institution remain responsible for following the POSH Act and the regulations that apply to you.

Can complaints be made anonymously?

Yes. An anonymous complaint receives a case token the student uses to check progress and read replies without giving a name. It is routed, tracked and reported like any other case, and if the student later chooses to identify themselves, the earlier history stays on the case.

What if a complaint involves more than one department?

It can be assigned to several owners on one shared case. Each sees the common timeline and the other’s actions, while private notes stay private unless permissions allow. There is one final resolution, so no office assumes another is dealing with it.

How do deadlines and escalation work?

Timers start at intake. You set acknowledgement and resolution windows per category, shorter for ragging or safety matters. The handler is reminded before a deadline, and if nothing is logged by then the supervisor is told and the case is flagged. Missed deadlines stay on the case and can be reported by department.

What can we export for NAAC or an inspection?

Reports cover volume by category, department and period, time from intake to resolution, deadlines met and outcomes by type, with case-level detail where needed. Exports run in PDF and CSV, and names can be left out for aggregate figures. Always follow the current manual for what to submit.

Can a student appeal a decision?

Yes. After a resolution the student can appeal from the same app. The appeal opens a linked case that carries the full history, with its own reviewer, deadline and audit trail, and the final report shows both the original decision and the appeal outcome.

Can it follow our grievance committee and ombudsperson structure?

Committees, their members and the officer or ombudsperson a case moves to are set up as roles, so a case follows the path your statutes describe. Keeping to the regulations is your institution’s responsibility; iVake keeps the record of how each case moved.

Can parents raise a grievance in a school?

Yes. Parents can raise a complaint from the parent app, with the same case number, tracking and deadlines, and the school decides which categories parents can use.
