Timetable management system

Build timetables around teacher availability, teaching load, rooms and elective clashes. Changes and substitutions are made against the same timetable, so teachers, students and parents see the updated day in the app, and attendance is marked against the period that actually took place.

The Old Way Transform My Institution

Where you are today

Holding you back

  1. Weeks on a wall chart

The timetable in-charge spends weeks on a chart and a stack of spreadsheets, checking who is free and which rooms are left.

    Pain point

  2. Electives that collide

A student finds two chosen subjects in the same slot on the first day of term, and one of them has to wait.

    Pain point

  3. Rooms that do not fit

A section of sixty is sent to a room with forty seats because the room list was never brought up to date.

    Pain point

  4. A sick teacher, a waiting class

A teacher calls in sick and the coordinator spends the first period finding someone free while a class waits.

    Pain point

  • 3+Charts and sheets to keep in step
  • 2+Rounds of corrections after publishing
  • WeeksTo build a term’s timetable

Your institution, transformed

Everything connected

  1. Built with the checks in

Teacher availability, workload, room capacity and elective choices are checked as each period is placed.

    Solved

  2. Electives without clashes

The subject combinations students have actually chosen are checked, so nobody is timetabled in two places.

    Solved

  3. Rooms that match the section

Rooms are offered by capacity and type, so a lab period lands in a lab.

    Solved

  4. Substitutions arranged quickly

Cover is arranged against the same timetable, and the substitute sees the class in their app straight away.

    Solved

  • 1Timetable read by every app
  • 0Separate substitution registers
  • Same dayChanges seen by everyone

Build the timetable without the wall chart

The person building the timetable should be making academic decisions, not checking spreadsheet tabs for clashes late into the night.

  • Periods, subjects, teachers and rooms placed for each class, section or batch, day by day
  • Clashes for teachers, rooms, sections and elective combinations flagged before saving
  • The same timetable seen as a class week, a teacher’s day or a room’s calendar

No teacher in two rooms, no section in a room too small

A double booking sends a class to a room that is already full and a teacher to two places at once. Checking against the records you already keep stops that before the timetable is published.

  • Room capacity checked against the section’s actual strength on the student record
  • Teachers placed within their availability and teaching load, not beyond it
  • Checks for teachers, rooms, sections and subject combinations can each be switched on or off

When the day changes, the timetable keeps up

Teachers fall ill, rooms need repairs and sections grow. What matters is whether the timetable helps you respond before the bell rather than after it.

  • Substitutions show the teachers free in that period, and cover is arranged in a few taps
  • A room change is checked against everything else in the new room before it is confirmed
  • Teachers, students and parents are told of a change, and the app shows the new day

Frequently asked questions

Get answers to common questions about timetable management

Can a school wing and a college wing keep different period lengths?

Yes. Each campus or programme can have its own period lengths, start times, breaks and working days, so a school running forty-minute periods and a college with hour-long lectures and Saturday labs share one system, and clash checks look across all of them.

What stops a teacher being given two classes in the same period?

When a period is placed or changed, the teacher’s existing periods are checked for an overlap. If there is one, the change is not saved and the clashing period is named, so the person building the timetable can fix it there and then.

What if a building or lab has to close in the middle of a term?

Periods in the affected rooms can be moved together to rooms that are free at those times, and everyone affected is told. A day’s classes can also be cancelled in one step for a declared holiday or closure.

Do students and teachers see changes straight away?

Yes. A room change, a new time or a substitute appears in the teacher, student and parent apps as soon as it is saved, with nothing to republish, and each change is recorded with who made it and when.

Can a subject meet in a classroom one day and a lab another?

Each day’s periods are set separately, so a subject can meet in a classroom on Monday and in a lab on Friday. All of those periods belong to the same subject, section and attendance record.

Is the timetable connected to attendance?

Yes. Attendance is marked against the periods in the timetable, so the register matches what was scheduled, and a substitute marks the period from their own app. The register records who marked it.

How are substitutions arranged?

When a teacher is away, their periods are listed for cover along with the teachers free at each one. The substitute is messaged and sees the class in their app, and the week’s substitutions show against each teacher’s actual load.

Does the timetable handle elective subjects?

Yes. Timetables are built around elective clashes, so the combinations students have actually chosen are not placed in the same period.
