See what a digital notice board changes at your institution
Before vs. after adding the notice board to iVake
Where you are today
Holding you back
Lists that miss new students
A timetable change goes to a group or mailing list set up in June, so students who joined later never hear about it.
Pain point
No proof a circular was seen
A revised examination rule is pinned to the corridor board. When a student disputes it, nobody can show they were told.
Pain point
Everyone gets everything
A notice about Class 10 practicals goes to the whole school, so families learn to skip the next message, including the one that matters.
Pain point
Notices stuck on one corridor
A department pins a guest lecture outside its staff room, and students from other programmes who would gain most never walk past.
Pain point
- 3+Groups and lists to keep current
- 2+Channels one notice is copied into
- DaysBefore a missed notice comes to light
Your institution, transformed
Everything connected
Audiences drawn from the record
Notices go to a class, section, programme, department or role, worked out from current enrolment, so a new admission is included on day one.
Solved
Read status on every circular
Each notice records who has opened it, so the office can show who was told and follow up with who was not.
Solved
Only the people it concerns
Students, parents and staff are chosen separately, so a fee deadline reaches parents and a practical schedule reaches the class.
Solved
One board, on every phone
Notices appear in the parent, student and staff apps, with WhatsApp, SMS or email for the ones that cannot wait.
Solved
- 1Board for every class and campus
- 0Distribution lists to maintain
- 1Archive of every circular issued

Targeted notices that reach only the people they concern
A notice sent to the whole school teaches most readers to ignore the next one. Choose the audience from the records you already keep, and each notice lands with the people it is about.
- Audiences by campus, class, section, programme, department or role, or a mix
- Separate choices for students, parents and staff within the same notice
- Audiences follow current enrolment, so section changes and new admissions are included
Read tracking that shows who was told
When a parent says they never heard about a rule, the question is whether the institution can show otherwise. Every notice keeps its read status, person by person, so the answer is a report rather than a guess.
- Read status recorded for each student, parent and staff member a notice reaches
- Circulars numbered in their own series, separate from routine notices
- A list of who has not opened it, ready for a reminder or a call
Scheduled, expired and archived without anyone remembering
A fee deadline notice needs to go out ahead of time, repeat closer to the date and come down afterwards. Set that once, and the board keeps itself current while every past notice stays on file.
- Start and end dates on every notice, so nothing goes up late or stays up stale
- Drafts prepared in advance and published on schedule, with approval where you want it
- Past notices searchable by academic year, term, audience, author and type

Get answers to common questions about the notice board
How does iVake decide who sees a notice?
Each notice has an audience chosen from campus, class, section, programme, department and role, with students, parents and staff picked separately. The audience is worked out from current enrolment and staff records when the notice goes out, so a student admitted yesterday is included and one who has left is not.
What is the difference between a notice and a circular?
Notices cover day-to-day matters such as a timetable change, an event or a holiday. Circulars carry formal weight: a change to rules, fees, examinations or the academic calendar. Circulars have their own types and their own numbering series, so one can be cited by number years later, along with its audience, date and read status.
Can we see whether parents have read a notice, not only students?
Yes. Read status is kept separately for students, parents and staff, so a fee notice shows how many parents have opened it even if the class has not. Parents who have not read it can be sent a reminder by WhatsApp, SMS or email.
How do urgent notices reach everyone quickly?
Mark the notice urgent and send it to a whole-campus audience. It is pinned at the top of every app and can go out by WhatsApp, SMS and email at the same time, for a sudden closure or a change on the day. Only staff with permission can send to the whole institution.
What happens to a notice after its end date?
It leaves the active board, so nobody reads last week’s notice as if it were current. The notice, its audience, its approval history and its read status stay in the archive, searchable by academic year, term, audience, author and type, for reference or for an inspection.
Can heads of department publish their own notices?
Yes, within limits you set. A common arrangement lets the principal’s office publish to the whole institution while heads of department publish only to their own classes and staff. Notices can be routed for approval before they go live, and each one records who wrote it and who approved it.
What is a digital notice board for schools?
A digital notice board replaces the corridor board and forwarded group messages with one place where the institution publishes notices and circulars. Each notice goes to a defined audience, appears on their phones, and keeps a record of who has read it.
