The Old Way Transform My Institution

Where you are today

Holding you back

  1. Weeks assembling a return

An AISHE or AICTE return means extracts from admissions, exams and accounts on different days, reconciled in a spreadsheet before anyone signs.

    Pain point

  2. Years of data, by Friday

A peer team asks for progression across several batches, and staff spend a weekend joining files with mismatched roll numbers.

    Pain point

  3. A queue for every figure

A head of department wants pass percentages by programme and batch, and waits behind every other request for a new spreadsheet.

    Pain point

  4. Two numbers for the same thing

The board pack shows one enrolment figure and the finance report another, both pulled from the same system on different days.

    Pain point

  • 3+Systems joined for one return
  • WeeksTo assemble a statutory return
  • 2+Versions of the same headcount

Your institution, transformed

Everything connected

  1. Returns from the same records

AISHE, AICTE, UGC and university returns come from the student record, so the number you file matches the one in your system.

    Solved

  2. History already on the record

Each year’s enrolment, attendance and results stay on the same student file, so a multi-year cohort is a filter, not a project.

    Solved

  3. Heads pull their own figures

Deans and heads of department run reports for their own programmes, within the access their role allows.

    Solved

  4. One set of figures

The board pack, the finance report and the dashboard read the same live records, and each figure links to the records behind it.

    Solved

  • 1Live source for every report
  • 0Overnight jobs before a dashboard updates
  • 1Set of figures for the board pack

Statutory and accreditation reporting from live records

Answer regulator, university and accreditor requests without rebuilding the data pull every cycle. The figures come from the records staff work in every day.

  • AISHE, AICTE, UGC and university returns generated from the student record
  • NAAC criterion-wise data sets and NBA outcome attainment from the live grade book
  • Each report run kept with the time, the person and the figures it produced

Build your own reports without waiting on IT

The exam cell, the IQAC and the accounts office define the reports they need: which fields, how they group and when they run. A saved report can be run again by anyone allowed, with their own filters.

  • A report builder for choosing fields, grouping and totals from students, results, attendance and fees
  • Filters by academic year, programme, department, campus or batch without rebuilding the report
  • Saved reports that other authorised staff run with their own filter choices

Self-service figures, within the access each role has

Deans, heads of department and programme coordinators pull their own numbers instead of queuing at the office, and see only the programmes and fields their role allows.

  • Report access set by campus, department, programme and role
  • Column limits, so a teacher can see a grade distribution without student names
  • Scheduled delivery by email, and extracts to Power BI or Looker Studio

Frequently asked questions

Get answers to common questions about reporting and analytics

Can reports produce AISHE and other statutory returns directly?

AISHE, AICTE, UGC and university returns are generated from the same student record, so the number you file matches the number in your own system. Portals and formats change; iVake holds the underlying data, so a new format is a reporting change rather than a fresh data collection. Always follow the current format for your category of institution.

What if we need a report that is not in the standard set?

Staff with the right role build it: choose the records, such as students, results, attendance or fees, add fields, set grouping and filters, and pick the layout. It can be saved and shared with chosen roles, with no development request.

How do permissions work when departments should see different data?

Access is set by campus, department, programme and role. A head of department running an enrolment report sees their own programmes, a dean sees the faculty, and the registrar sees the institution. Specific columns can be hidden by role, and every report run is logged.

Accreditors ask for several years of data. How far back can we report?

As far back as your records in iVake go. Each year’s enrolment, attendance and results are added to the same student record, so a cohort can be followed across years in one report. History migrated at onboarding is included, reconciled against your source before go-live.

How is this different from building reports in Power BI?

Reports in iVake read live records under the same permissions as the rest of the platform, with no pipeline to maintain. If you already use Power BI or Looker Studio, iVake sends scheduled extracts or provides a read replica, so the two work side by side.

Can reports be scheduled and sent to people automatically?

Yes. Reports run daily, weekly, monthly or on dates you set, and go by email to the people you choose as PDF, Excel or CSV. Each delivery is logged with the time, the recipients and the format.

Do reports and dashboards cost extra?

No. Reports and dashboards are included at every price band, and so are additional staff logins, so more people pulling their own figures does not change the bill.

Can we take all our data out for our own analysis?

Yes. The REST API covers what iVake stores, and a full export in open formats is available whenever you ask, including after the contract ends.

  • Cloud, hosted in your region
  • REST API & webhooks
  • SSO: Google, Microsoft & SAML
  • Encrypted, backed up daily
  • Built for the DPDP Act
  • Full security details
