See what secure transcripts change at your institution
Before vs. after adding secure transcripts to iVake
Where you are today
Holding you back
Marks retyped into a template
Someone copies grades from the results register into a word-processor file, a CGPA is mistyped, and a university abroad puts the application on hold.
Pain point
A rush after every result
Final-year results bring a wave of transcript requests. Staff print, sign, seal and post each one, and students ring to ask where theirs is.
Pain point
Dues checked from memory
Whether a student has cleared fees, library and hostel is a separate check, and in a busy week it gets skipped.
Pain point
Verification by phone call
An employer’s background check calls the examination branch to confirm a marksheet, and waits days for someone to compare it by eye.
Pain point
- 3+Offices to visit for one transcript
- 2+Times marks are copied by hand
- DaysBefore a verification is answered
Your institution, transformed
Everything connected
Read from the result record
Courses, grades, credits, SGPA and CGPA come straight from the results, so the transcript agrees with the record.
Solved
Requested and tracked online
Students request, pay for and follow each transcript from the app, instead of queuing at a counter.
Solved
Dues checked before release
Outstanding fees and other holds stop the request, with the reason shown to the student.
Solved
Verified without a phone call
A code on each document opens a verification page, so a recipient can confirm it for themselves.
Solved
- 1Result record behind every transcript
- 0Grades retyped
- 1Code to verify each document

No retyped grades on any transcript you issue
The transcript is generated from the result record, so nobody copies a grade, a credit total or a CGPA into a template. When the record is corrected, the next transcript reflects it.
- Courses, grades, credits, SGPA, CGPA and class awarded read from the results
- Name corrections and revaluation outcomes appear on the next copy generated
- Grade points and CGPA follow the same rules as your examination scheme
Recipients can verify every document themselves
Each transcript carries a digital signature, a unique document number and a verification code. An employer, a university or an evaluation agency checks it from a phone instead of writing to your examination branch.
- A QR code on each document opens a verification page for your institution
- Digitally signed PDFs, so a change made after issue shows up
- Each verification check logged with its date and outcome
Students request, pay and track transcripts without queuing
Transcript requests arrive at every hour, especially after results and before admission deadlines abroad. Students ask for what they need online, pay the fee, and see where the request stands.
- Requests with recipient, number of copies and delivery by email, download, DigiLocker or post
- Fees paid by UPI, card or net banking at the time of the request
- Fee dues, library and hostel clearances checked before release, with the reason shown

Frequently asked questions
Get answers to common questions about secure transcripts
How does a recipient verify a transcript?
Each document carries a QR code and a unique document number. Scanning the code, or entering the number on your verification page, confirms the document is genuine and shows its issue date, the student’s name and programme. The recipient needs no account, and each check is logged.
What happens if a student has unpaid dues?
The request is checked against the fee ledger, and against the other clearances you choose such as library and hostel, when it is made. If something is outstanding, the request is held and the student is told what to clear. Staff with permission can release a document despite a hold where your policy allows, and the override is logged.
Can we issue transcripts for a whole graduating batch at once?
Yes. Once results are final, authorised staff generate documents for a batch, or any part of it by programme, department or campus. Each document is built from the student’s own record, and records with missing results or open holds are listed for review before anything is issued.
Does it work with DigiLocker and the Academic Bank of Credits?
Yes. Issued marksheets and certificates can be pushed into the student’s DigiLocker and the Academic Bank of Credits, with a trail of what was sent, when, by whom and what came back. When a student says a document never arrived, that trail is the answer.
How do students request transcripts without visiting the office?
In the student app they choose the document, the number of copies, the recipient and the delivery method, pay the fee by UPI, card or net banking, and submit. The request shows each stage, from paid and checked to generated and dispatched, so nobody needs to ring the office to ask.
How is access to academic records controlled?
Only staff with transcript permissions can generate or release an official document, and students see only their own records. Every issue, override and verification is logged with the actor and the time, and download links for marksheets and certificates are signed and expire. Under the DPDP Act your institution is the Data Fiduciary, and iVake processes records on your instructions.
Can a transcript show a percentage as well as the CGPA?
Where your regulations prescribe a conversion from CGPA to percentage, it can be printed on the transcript using that rule. Students applying for jobs or study abroad are often asked for one.
