Classroom and facility management

Keep every classroom, laboratory, seminar hall and auditorium on one list, with its capacity, equipment and condition. The timetable, examinations and events book from the same list, so two groups are not sent to one room, and you can see which spaces are used and which are not.

The Old Way Transform My Institution

Where you are today

Holding you back

  1. A room list nobody trusts

Rooms, seats and projectors are kept in an old spreadsheet, and nobody knows which equipment is working today.

    Pain point

  2. Two bookings, one hall

Two departments book the seminar hall for the same afternoon, and find out when both groups arrive at the door.

    Pain point

  3. The wrong room for the class

A small tutorial group gets a large lecture hall while a full section squeezes into a room with too few benches.

    Pain point

  4. Building plans without data

Management is asked to approve a new block, and nobody can show which existing rooms stand empty, and when.

    Pain point

  • 3+Lists describing the same rooms
  • 2+People booking the same hall
  • DaysBefore a fault reaches the scheduler

Your institution, transformed

Everything connected

  1. One list of every space

Each room carries its block, floor, capacity, type and equipment, kept current by the people who use it.

    Solved

  2. Clashes caught at booking

Timetable periods, exam sittings and event bookings are checked against the same room calendar before they are saved.

    Solved

  3. Rooms matched to the class

The room offered for a section fits its strength and the equipment its subject needs.

    Solved

  4. Usage you can show

Reports show how each room is used by day and period, ready for planning and for the infrastructure criterion.

    Solved

  • 1List of rooms for every booking
  • 1Calendar per room, for classes and events
  • Same dayFaulty rooms taken off booking

Know what every room holds, and whether it works

Stop relying on a room list last checked years ago. Each space has a record with its capacity, equipment and condition, updated by the staff who use and maintain it.

  • Capacity, block, floor, room type and equipment such as projectors, computers and lab benches
  • Every campus and building in one system, filtered by campus, block or room type
  • A room marked out of service drops out of search until the repair is closed

Catch double bookings before anyone walks to the room

Rooms are offered according to what the class needs, and every overlap is flagged before it turns into two groups waiting outside one door.

  • The timetable offers rooms that fit the section’s strength and the subject’s needs
  • Every booking, whether a period, an exam sitting or a meeting, is checked against one calendar
  • A room closed for repairs cannot be booked, and people holding bookings are told

Room usage data for planning and accreditation

When management asks whether the institution needs more rooms or better use of the ones it has, the answer comes from room-level records rather than impressions.

  • Usage by room, block, day and period, across a term or a year
  • Comparisons by room type show where labs are stretched and halls stand idle
  • Room, equipment and maintenance records kept for the NAAC infrastructure criterion

Frequently asked questions

Get answers to common questions about classroom and facility management

Can a department look after the rooms it uses?

Yes. Access is set by campus, department and role, so a department can manage the labs and rooms assigned to it while the administration office sees every space. Some kinds of booking can be set to need central approval.

How are rooms booked for events and meetings?

Staff request a room from the app or the web. The request is checked against the timetable and existing bookings, then goes to the approver your institution has chosen for that kind of room.

Can we record how a hall should be set up?

Yes. A booking can carry set-up notes, such as the seating layout, microphones or a projector, so the estate team knows what to arrange and by when.

What happens when a room is closed for repairs?

Mark it unavailable for the dates of the work. Bookings for that period are blocked, and anyone who already holds a booking is told so they can move.

Do we know where each projector and computer is?

Yes. Equipment is recorded against the room it sits in, with its condition and history, and the record moves when the equipment does.

Can we charge for the use of a hall?

Rooms can carry a rate, so the hire of an auditorium or ground to an outside group can be billed and the charge recorded in accounts.

How do we see which rooms are underused?

Usage by room, block, room type, day and period, with busy and quiet times picked out and trends across terms. Reports export in open formats.

Can teachers see their rooms on a phone?

Yes. The teacher app shows each period with its room, and a room change or a substitution is sent to the teacher and updated in the app.

Does this help with NAAC infrastructure data?

Room and equipment records, maintenance history and usage are kept as ordinary records, so the facts behind the infrastructure criterion are read from them rather than gathered before the visit. Always follow the current manual for your category of institution.

What is classroom management software?

Classroom management software keeps a record of an institution’s teaching spaces and what is in them, and schedules classes, examinations and events into those spaces without clashes. Connected to the timetable, it makes sure teachers and students always see the right room.
