See what campus management changes at your institution
Before vs. after running your campus on iVake
Where you are today
Holding you back
A separate tool for every department
The hostel keeps a register, the library a catalogue, transport a clipboard and accounts its own sheet of dues.
Pain point
Dues nobody sees together
Hostel charges, bus fees and library fines sit in different places, so a student can leave with money still owed.
Pain point
Timetable changes sent round by email
A class moves room, the change goes to each office separately, and somebody always works from the old version.
Pain point
Campuses that do not add up
Each campus reports in its own format, and the group office rebuilds one picture from several spreadsheets every month.
Pain point
- 4+Registers kept for one student
- 2+Times a change is sent round
- WeeksBefore the group sees combined figures
Your institution, transformed
Everything connected
One platform, one student record
Academics, fees, payroll, hostel, transport and library read and write the same record, so nothing is copied between offices.
Solved
Every charge on one ledger
Tuition, hostel and transport by route sit on one fee ledger, so what a student owes is a single figure.
Solved
Timetables that reach everyone
Timetables respect availability, workload, rooms and elective clashes, and a substitution appears in the teacher’s app.
Solved
A context for each campus
Every campus keeps its own programmes, calendar and fee structure, and the group office sees them together.
Solved
- 1Record from enquiry to alumni
- 0Duplicate data entry
- 1System for every campus

Hostel, transport and library on the student record
The physical campus runs on the same record as the classroom. A hostel room, a bus route and a library issue are facts about a student the platform already knows, so no office keeps its own copy.
- Hostel room and mess recorded against the student, with the charge on the fee ledger
- Routes, stops, boarding scans and vehicle documents, with transport billed by route
- Library issues, returns and overdue reminders for students and staff
Campus operations connected to academics
When the hostel, the library and the bus live outside the academic system, dues go unnoticed and nobody checks them before a student leaves. On one record, admission sets up what follows, and clearance reads what is already there.
- Enrolment number, section, ID card, hostel and transport set up from data already collected
- Tuition, hostel and transport charges on one fee ledger, with instalments and concessions
- No-dues checks read the fee ledger and the library before a transfer certificate is issued
Multi-campus management with one set of definitions
A group with several campuses needs each one to run its own year, and the head office to see all of them at once. iVake runs one system with a context per campus, so an application or a fee head means the same thing everywhere.
- Each campus keeps its own programmes, calendar, fee structure and approval chains
- Group dashboards that drill down to campus and programme
- Access by campus, department and role, with every change on one audit trail

Frequently asked questions
Get answers to common questions about campus management
What is a campus management system?
A campus management system runs an institution’s academic, administrative, financial and physical operations on one database: timetables, attendance, examinations, fees, payroll, hostel, transport and library. Instead of a separate tool for each office, every department reads and writes the same student record.
Why run the whole campus on one platform instead of separate tools?
Separate tools each keep their own copy of the student, so someone has to reconcile them. On one record, a hostel charge, a bus route and a library fine sit alongside tuition, and a change made in one office is seen by the others. You also keep the right to leave: every record and document can be exported in open formats at any time.
Can iVake handle a university or group with several campuses?
Yes. One system runs with a context per campus. Each campus keeps its own programmes, calendar, fee structure and approvals, while the group office sees combined dashboards that drill down to campus and programme.
How long does it take to go live?
Roughly four weeks for a school, and six to eight for a university or a group with several campuses. The usual approach for a group is one campus first, all the way to go-live, then the rest using the configuration the first one settled.
Is every module included in the price?
Campus operations are priced per student, per month, and every ERP module is included at every band, with no charge per staff login. Onboarding is a one-time ₹10,000 fee. Admissions, placement and alumni are separate add-ons at a flat monthly cost.
Do we need our own servers or an IT team?
No. iVake is hosted in your region, with backups and version upgrades included, and staff sign in with Google Workspace, Microsoft Entra ID or SAML. A named implementation manager handles the rollout. If your group needs a private or dedicated deployment, we can quote for it.
Can we start with a few modules and add more later?
Yes. Most schools and colleges start with one department or one intake, such as fees and attendance, and switch on the rest over the following terms. Adding a module is a setting on the same record, not a second migration.
What happens to our data if we leave?
You get a full export of every record and document in open formats, on request, at any point, including after the contract ends. Deletion then follows the schedule in the agreement.
