Connected Campus

Zoom integration for schools and colleges

iVake creates Zoom meetings from your timetable on the institution’s Zoom account and brings participation back to the student record. Teachers stop making links, and nobody reconciles spreadsheets to find out who attended an online class.

The Old Way Transform My Institution

Where you are today

Holding you back

  1. A new link for the same class

Teachers create fresh links for a recurring class, students save the wrong one, and checking attendance means comparing reports, emails and the timetable.

    Pain point

  2. Host licences that clash

Several teachers share one Zoom host licence, one class overruns into another, and IT hears about it from a complaint.

    Pain point

  3. Sign-in forms anyone can fill

Students mark themselves present on a form, and a later dispute shows some never appeared in the participant list.

    Pain point

  4. Low online attendance found late

Online attendance never reaches the student record, so a student who rarely joined is noticed only when marks are submitted.

    Pain point

  • 3+Reports compared to settle attendance
  • 2+Links in use for one recurring class
  • Term endBefore low online attendance is noticed

Your institution, transformed

Everything connected

  1. One link per recurring class

Meetings are created when the timetable is published, and the same link serves every class in the series.

    Solved

  2. Booked on the institution’s account

Meetings are created on the institution’s Zoom account from the timetable, not on each teacher’s own login.

    Solved

  3. Attendance from the participant report

Join and leave times from Zoom are matched to enrolled students and written to the attendance register.

    Solved

  4. Shortages flagged during the term

Online absence counts towards the same thresholds as the classroom, so warnings go out while there is time to act.

    Solved

  • 1Link for each recurring class
  • 0Self-reported sign-in forms
  • Same dayOnline absence on the register

Meetings created and retired by the timetable

Every Zoom class is created, moved and cancelled by the timetable rather than from a teacher’s own account. The link is stable, and students can see it from the first day of term.

  • A Zoom meeting created when a timetable period is published, with no teacher action
  • One link for each recurring class, valid for the whole term
  • Reschedules update the meeting; cancellations remove it

Attendance from the Zoom participant report

Participation data from Zoom, with join time, leave time and duration, comes into the attendance register after each class. Honour-system sign-ins and manual reconciliation give way to a timestamped record you can audit.

  • Participants matched to enrolled students soon after the class ends
  • Full attendance, a brief connection and no show told apart by duration
  • The Zoom report, the timetable period and the register entry linked for any dispute

Teachers teach, students join

Neither teachers nor students manage Zoom credentials or search for links. The meeting sits on the period, the recording sits on the class, and changes arrive in the app.

  • Teachers start the class from the period in iVake, with the link already there
  • Cloud recordings linked to the class for enrolled students
  • Breakout room settings kept at course level and reused each session

Frequently asked questions

Get answers to common questions about Zoom integration

Does every teacher need their own Zoom licence?

Meetings are created through an app your IT administrator authorises once on the institution’s Zoom account, using the licences you already hold. Teachers do not manage Zoom credentials to have classes created for them. How many classes can run at the same time still depends on the host licences in your Zoom plan.

Do students need a Zoom account to join?

Not unless your Zoom settings require it. Students open the link from the period in their app. If your institution requires signed-in participants, that setting applies to these meetings exactly as it does to any other.

How does attendance sync work?

After the class ends, iVake reads the participant report for that meeting, which lists each participant’s name, email, join time, leave time and duration. These are matched to the students enrolled in the section, and present, late, left early or absent is recorded against your rules.

What happens when a class is cancelled or rescheduled?

A cancelled period deletes the Zoom meeting, so nobody joins an empty class out of habit. A rescheduled period moves the meeting’s time and keeps its link. Changing one class in a series leaves the rest of the series untouched.

Where are cloud recordings kept, and who can see them?

Recordings stay on the institution’s Zoom account, not in a teacher’s personal storage. iVake links each one to its class, and access is set per course: all enrolled students, only those who attended, or staff only. Access does not depend on the teacher still working for you.

Does it create Zoom Webinars as well as meetings?

It creates standard Zoom meetings, which suit lectures, tutorials and seminars. Webinars are a separate Zoom product with their own licence, and large events such as orientations are usually run from Zoom directly. Talk to us if you need webinars created from iVake.
