What each office across the university uses
For the registrar, the Controller of Examinations, the IQAC and every campus.
Campuses and colleges
Each campus keeps its own programmes, seat matrix and fees, and the university sees one combined view.
Examinations and results
Central sessions with halls set by each campus, and results approved up to the Controller of Examinations.
Credits and CGPA
Grade points and CGPA under each programme’s regulations, with credits attached to results as they are earned.
APAAR and ABC, with consent
APAAR status per student, recorded with consent, and a trail of every credit deposit to the ABC.
NAAC and NIRF evidence
Criterion-wise NAAC data across campuses, and the student, faculty and placement figures NIRF asks for.
Admissions
One application queue across campuses and programmes, with merit lists, quotas and DigiLocker checks.
Transcripts and certificates
Transcripts and certificates for every campus from the same results, with a verification code, sent to DigiLocker.
Faculty and research scholars
Staff by campus, school and department, and PhD scholars followed from topic registration to viva voce.
Alumni
Each passing batch joins a verified alumni directory, with mentoring, events and giving.
How a university goes live
Six to eight weeks is realistic: one campus first, then the rest in parallel.
Write down how you run
We sit with admissions, examinations and finance on each campus and record programmes, regulations, fee heads and approval chains.
Move and reconcile records
Students, staff, past results and fee ledgers are imported and reconciled line by line. You sign off before anything goes live.
Train by role
Counsellors, the examination branch, accounts, the IQAC and faculty are each trained on their own screens, and sessions are recorded.
One campus first
One campus goes live all the way, then the rest follow in parallel on the settings the first campus settled.
APAAR, ABC and consent, explained plainly
APAAR is voluntary, and students and parents may refuse. Our guide sets out what the registrar should record and how credit deposits are meant to work.

Questions universities ask
Short answers. The demo covers the rest.
Our ABC upload was rejected over name mismatches. How does iVake help?
Names are checked where they enter. DigiLocker documents arrive with the issuer’s signature, and iVake flags any name, board, roll number or year that differs. Differences are listed for the registrar before results are deposited, and the deposit trail shows what was sent, when, by whom and what came back.
Is APAAR compulsory for our students?
No. APAAR is voluntary. On 20 July 2026 the Supreme Court directed that consent forms let parents and guardians refuse. iVake tracks each student’s APAAR status and records the ID only where the student or parent consents. Credits go to the Academic Bank of Credits only for students with an APAAR ID, with a trail of what was sent.
Can one system run several campuses and affiliated colleges?
Yes. Each campus keeps its own programmes, fee structures, calendar and examination rules, and the university office reads one combined view that drills down to campus and programme. Affiliated colleges are set up the same way, and pricing for affiliated-college networks is a custom quote.
How does iVake help with NAAC while binary accreditation is only proposed?
NAAC proposed Basic (Binary) Accreditation in its notice of 22 April 2026, but it has not launched. Accreditations expiring since 27 January 2024 are extended up to six months after the graded levels launch. Meanwhile each campus files activities, publications and progression against their criterion as they happen. Read our guide.
Who can see what across campuses?
Access is set by campus, department, programme and role. A head of department sees their department, while the registrar and the vice-chancellor see what their role allows. Every change is logged with who made it.
Does alumni management come with it?
It is a flat ₹2,999 a month add-on. Each passing batch joins the directory automatically with a verified result, graduates claim and correct their own profiles, and older alumni lists can be imported, with near-duplicates held for review.
How much does iVake cost for a university?
Universities get a custom quote for the ERP. Admission management (₹4,999), Training & placement (₹3,999) and Alumni management (₹2,999) are flat monthly add-ons. Onboarding is a one-time ₹10,000, covering migration and training. GST at 18% is extra; quarterly billing saves 5%, yearly 15%.
Is there a free trial?
Yes. Try iVake free for 30 days with full feature access and no credit card, at app.ivake.com. If you continue, your first invoice includes the one-time ₹10,000 onboarding.
