For registrars and the academic office

Identities, results and certificates, on one record

Every figure a board, a university or a peer team asks for is read from the records your office keeps — not rebuilt from them.

The gap, and the person who owns it

Readiness by criterion, with what is missing named against somebody.

  • Not a percentage. Not “criterion 3 is at 71%” but which publications are unrecorded, and which dean holds them.
  • Filed as it happens. A seminar’s proposal, attendance, report and outcome, linked to its criterion.
  • Manuals change. iVake stores the data the criteria are built from; a new manual is a reporting change.

Questions the academic office asks

Three that decide whether a record can be defended a year later.

Who changed what, and what was it before?

Create, update, approve, export and every AI action is written to an audit trail with the actor, the timestamp and the previous value. Marks and fee entries keep a full revision history.

What happens when the accreditation manual changes?

Frameworks and portals change; the underlying facts — who taught what, who attended, what they scored, what the department published — do not. A new manual is a reporting change.

A student says a credit never reached the ABC. What then?

The deposit trail records what was sent, when, by whom, and what came back, as part of the same audit history. When a student disputes a missing credit, that history is the answer.

See iVake running on your own data

Share your fee structure and programmes before the call, or sample data with student names removed. We set them up, so you see your own institution on screen rather than a demo account.

  • 45 minutes, your data. Not a generic tour of features.
  • Migration mapped on the call. We show exactly where your current records land.
  • A written rollout plan within two working days, with phases, owners and dates.
  • No pressure to switch everything at once. Most schools and colleges start with one department or one intake.
