See what thesis management changes at your institution
Before vs. after adding thesis management to iVake
Where you are today
Holding you back
A master sheet that is always behind
The research cell updates one spreadsheet of active scholars from emails and corridor conversations, and it is stale by the time it is shared.
Pain point
A synopsis sitting in an inbox
A scholar submits a synopsis for review and hears nothing for weeks, because it is buried in a supervisor’s email.
Pain point
A long chase for one viva date
Finding a slot that suits the supervisor, the external examiner, the committee, the scholar and a room takes a chain of messages.
Pain point
Delays found at accreditation
During the self-study, the dean learns that several scholars in one department are past their expected duration, and nobody flagged it.
Pain point
- 3+Places one thesis is tracked
- WeeksWaiting on a review with no status
- MonthsBefore a stalled thesis is noticed
Your institution, transformed
Everything connected
Every thesis on one board
Active theses by programme, supervisor and stage, read from each scholar’s record rather than a sheet somebody maintains.
Solved
Reviews with an owner and a date
A synopsis or progress report goes to the named reviewer with a due date, and the scholar can see its status.
Solved
Viva dates from real availability
Committee availability is compared in one place, a slot and a room are proposed, and the papers go to everyone together.
Solved
Delays flagged while they can be fixed
Scholars who miss a milestone or pass their expected duration are flagged to the supervisor and the research cell.
Solved
- 1Record per scholar, registration to award
- 0Master spreadsheets to keep up to date
- 1View of every thesis by stage

See where every thesis stands
The dean of research needs to know who is progressing, who has stalled and who needs help now, not at the next committee meeting.
- Every active thesis grouped by programme, supervisor, stage and time since registration
- Flags for scholars who miss a milestone, pass their expected duration or stop submitting progress
- Milestone completion by department for research committees and programme reviews
A structure that keeps scholars moving
Scholars fall behind when deadlines exist only in the regulations. Each programme’s milestones are laid out from the date of registration, and every review leaves a record.
- Milestone templates per programme, from coursework and synopsis to progress reviews and the pre-submission seminar
- Progress reports reviewed and signed off by the supervisor, with the feedback kept on the record
- Reminders to scholars, supervisors and the research cell as deadlines approach or pass
Committees and examiners without the email chains
Setting up a research committee, fixing a viva date and sending the thesis to examiners should not take a string of reply-all messages.
- Committees formed with defined roles, including external examiners, and conflict-of-interest declarations recorded
- Viva scheduling that compares availability and proposes a slot and a room
- The thesis, reports and evaluation forms sent to every member from one place

Frequently asked questions
Get answers to common questions about thesis management
Can different programmes have different milestones?
Yes. Each programme has its own milestone template, so a PhD in Chemistry and an M.Tech dissertation follow different steps, deadlines and committee rules. When a scholar registers, the template is applied and target dates are worked out from the registration date. Steps such as ethics clearance or coursework appear only where the programme needs them.
Can examiners and committee members from other institutions take part?
Yes. External members are added with a defined role and access limited to the scholar’s documents and evaluation forms, without a full staff account. Their details and conflict-of-interest declarations are kept alongside those of internal members.
How does viva scheduling work?
Availability of the supervisor, committee, examiners and scholar is compared for the weeks you choose, and slots where everyone is free are proposed with a room. Members who keep their calendars elsewhere can mark availability directly. Once the date is confirmed, the thesis and evaluation forms go to everyone together.
What happens when a supervisor leaves or goes on long leave?
The supervisor role is reassigned to another faculty member, who sees the scholar’s full history: progress reports, milestones, committee feedback and submitted chapters. The change and its reason are written to the audit trail.
Can we report completion times for accreditation and research returns?
Yes. Registration, milestone, extension and award dates are kept for every scholar, so completion time can be reported by programme, department and year of registration, and scholars past their maximum duration can be listed. Theses and publications are recorded against the research criterion NAAC asks about.
How are extension requests handled?
The scholar submits the request with reasons and supporting documents. It goes to the supervisor for a recommendation and then to the research committee or dean for a decision, each step with a deadline. An approved extension moves the milestone dates, and every decision is kept with its date.
Can a similarity check be part of the process?
Yes. A similarity check can be set as a milestone before submission, with the report attached, so the committee sees it alongside the final draft.
