Microsoft Teams Integration

Many institutions already pay for Microsoft 365 Education, yet online classes still run on a separate video tool while Teams carries only staff chat. iVake connects Teams to the academic record: a team for each course section, meetings from the timetable, members from enrolment, and attendance from each meeting’s report.

Before vs. after connecting Microsoft Teams to iVake

The Old Way Transform My Institution

Where you are today

Holding you back

  1. Paying for teams, teaching elsewhere

The institution holds Microsoft 365 licences, but classes run on another video tool because Teams was never linked to academics.

    Pain point

  2. Every course set up by hand

A teacher creates the team, copies students from a class list, schedules each meeting and emails the link.

    Pain point

  3. Two logins, or the wrong account

Students juggle a portal login and a Teams login, and some join with personal Microsoft accounts IT cannot manage.

    Pain point

  4. Attendance on an honour system

Online attendance is a form students fill in themselves, and a dispute means asking IT for the Teams activity log.

    Pain point

  • 3+Tools used to run one online course
  • 2+Logins for every student
  • DaysTo settle an attendance dispute

Your institution, transformed

Everything connected

  1. Teams used for teaching

Course teams and class meetings come from iVake, so the Microsoft 365 licences you hold carry academic delivery.

    Solved

  2. A team ready on day one

Each section has its team with enrolled students in it, and meetings appear as the timetable is published.

    Solved

  3. One Microsoft sign-in

Staff and students use their institutional Microsoft account through Entra ID, for iVake and for Teams.

    Solved

  4. Attendance from the meeting record

Join and leave times from each Teams meeting are written to the attendance register, so a dispute has evidence.

    Solved

  • 1Institutional account per student
  • 0Class lists copied into Teams
  • 1Register for online and classroom attendance

Microsoft 365 licences put to academic use

If your institution already pays for Microsoft 365 Education, the tools for online teaching are in place. iVake links them to the academic record, so Teams carries classes and not only staff meetings.

  • Course teams and class meetings created from iVake, not by each teacher
  • Team members taken from enrolment, with no manual invitations
  • Sign-in through Microsoft Entra ID, with no new credentials to manage

Course set-up that follows the timetable

The academic record is the source. When a section exists its team exists, when periods are published the meetings appear, and when a student changes section the membership follows without IT stepping in.

  • A team for each course section, created before the first class
  • Timetable periods scheduled as Teams meetings, visible in the student app
  • Adds, drops and section changes reflected in team membership

One sign-in, and attendance nobody retypes

Microsoft Entra ID handles sign-in for iVake and Teams alike, and each meeting’s attendance report becomes the register entry. Teachers teach; nobody copies names out of a chat window.

  • Institutional Microsoft accounts for staff and students, closed when someone leaves
  • Join time, leave time and duration written to the attendance register after class
  • Disputes settled against a timestamped record, not memory or a sign-in form

Frequently asked questions

Get answers to common questions about Microsoft Teams integration

What does our IT administrator need to set up in Microsoft Entra ID?

An administrator registers iVake as an application in your Entra ID tenant and grants the Microsoft Graph permissions it needs to create teams, manage members and schedule meetings. It is done once for the institution, not per teacher or per course, and the permissions can be reviewed or revoked from your tenant at any time.

Which Microsoft 365 licence does our institution need?

The integration works with the Microsoft 365 Education licence your institution holds for Teams. Some meeting features, such as recording, depend on your plan, so confirm what yours includes with your Microsoft partner before rollout.

What happens when a student adds or drops a course mid-term?

The change made in iVake flows through to team membership: the student joins the new course team and leaves the old one, without a teacher or IT making the change in Teams by hand.

Does attendance work the same from a phone and the desktop app?

Yes. Attendance comes from the meeting’s attendance report, which records joins from the Teams desktop app, the mobile app and a browser alike. Your rules for late joins and early exits apply in the same way whichever one a student uses.

What happens to course teams when the term ends?

You decide. Teams can be archived on the academic calendar, keeping messages and files read-only, or left open for a period so students can refer back. Attendance already written to iVake stays on the student’s record whatever happens to the team.

We already use Teams for departments and staff. Will this interfere?

No. Course teams follow a naming pattern taken from the academic structure, such as course code, section and year, and the integration manages only the teams it creates. Existing departmental teams are left as they are.
