See what the examination system changes at your institution
Before vs. after adding examinations to iVake
Where you are today
Holding you back
Timetables built in a spreadsheet
The exam cell places papers by hand for weeks, and a clash for one batch turns up on the morning of the exam.
Pain point
Hall tickets printed in a rush
Hall tickets are merged from a list that is already out of date, so names, photos and rooms are reprinted at the gate.
Pain point
Marks copied between registers
Marks move from answer books to a register to a spreadsheet, and one transposed digit fails a student who passed.
Pain point
Results that take weeks
Every stage of checking works on another copy, so results reach students long after evaluation has finished.
Pain point
- 3+Copies of each mark
- 2+Lists behind one hall ticket
- WeeksFrom evaluation to results
Your institution, transformed
Everything connected
Clashes caught while planning
Papers, halls and invigilators are checked for conflicts as the timetable is drawn up, not on exam day.
Solved
Hall tickets from live records
Name, photo, roll number, papers, hall and seat come from enrolment, and students short on attendance are held.
Solved
Marks entered once
Weighted internal and external marks go into a grade book that locks on the date and keeps its history.
Solved
Results reviewed, then released
Results pass the approvals you set before they reach the app, and marksheets go back to DigiLocker.
Solved
- 1Grade book per subject
- 0Marks retyped
- 1Record from hall ticket to marksheet

Exam timetables without clashes
Checking every paper against every candidate, hall and invigilator by eye is how clashes reach exam day. iVake checks as you plan, so a conflict is fixed on screen rather than at the hall door.
- Students registered for two papers in the same slot flagged before the timetable is published
- Halls and labs checked for capacity and double-booking across the session
- Invigilation duty assigned without overlaps and sent to each teacher’s app
Hall tickets and seating from live records
Hall tickets should come from the enrolment the office already keeps, not from a merged list. Candidate details, papers, halls and seats are read from the record, and eligibility is worked out from attendance already marked.
- Hall tickets with name, photo, roll number, papers, hall and seat, issued to print or to the app
- Eligibility from recorded attendance, with shortage cases held for a decision
- Seating by roll number or mixed across programmes, with an invigilator list for each hall
Results checked before they are published
A mark should be hard to get wrong and easy to trace. Entries are checked as they go in, results pass the review you set, and every correction keeps the value it replaced.
- Marks above the maximum for a component are refused at entry
- Results pass through the approval chain you set, from department to controller of examinations
- Revaluation requests tracked from application to decision, with original and revised marks kept

Frequently asked questions
Get answers to common questions about examination management
Can different programmes use different grading schemes?
Yes. Each programme, and each campus, can have its own examination scheme: a credit-weighted CGPA on a ten-point scale for engineering, percentages for a diploma, or term grades for a school. Results are worked out under the scheme attached to the student’s programme.
How are supplementary and backlog examinations handled?
An attempt is a record against the student, not a column in a sheet, so a supplementary attempt sits alongside the first with its own date, subjects and marks. Which result counts is recorded on the attempt, and the transcript shows it. The same model holds two board attempts in one year for a school.
Can we import marks from external evaluators or OMR sheets?
Yes. Evaluators fill a template with the student list already in it, and the completed file is checked for missing entries, marks out of range and duplicates before it is imported. Results from an OMR scanning system can come in as a file or through the REST API.
How do you stop mistakes reaching students?
Marks outside a component’s range are refused at entry, results pass the approval chain you set before they are published, and grade books lock on the date. Any grace marks are applied with a recorded reason, and every change keeps who made it and the previous value.
Can students apply for revaluation online?
Yes. Students apply from the app once results are published, and each request is tracked through to a decision. The original and revised marks are both kept, and the student can see where the request stands without calling the exam cell.
How does examination planning work across several campuses?
The exam cell can set the session and papers centrally while each campus assigns its own halls and invigilators. Hall tickets show the student’s own campus and hall, and results for the same paper come together in one view.
How is exam eligibility decided?
Eligibility is computed from the attendance already recorded, against the threshold you set. Students below it are listed for a decision, and a condonation, such as for a medical absence, is recorded with its reason and approver.
Can a school record two board attempts in the same year?
Yes. A second attempt sits alongside the first against the student, with its own subjects and marks. Students appearing again keep their own status, so they stay on the right lists, and the exam cell can produce the second-attempt list the day results arrive.
