Questions administrative officers ask
Buses, circulars, certificates, leave and the front office.
A bus breaks down at 7:20 am. How do parents find out?
The transport office raises the delay, and it goes to every family on that route by WhatsApp, SMS or the app. Parents also see the live position and arrival time of their own child’s bus, and boarding scans show which children got on.
Do we get warned before a bus fitness certificate lapses?
Yes. Licences, police verification, fitness certificates, permits, insurance and PUC sit on the driver and vehicle records, with reminders before each one lapses. A driver whose licence has expired cannot be put on a route.
How do we show a parent received a circular?
Every notice records who opened it, person by person, and circulars are numbered in their own series. The office gets a list of parents who have not read it, ready for a reminder by WhatsApp, SMS or email.
How are TC and bonafide certificate requests handled?
Requests are made and paid for in the app. Each one is checked against the fee ledger and library before release, then the certificate is issued digitally from the record, with a QR code anyone can verify. The family sees it in the app, and it can go to the student’s DigiLocker.
Can staff apply for leave from their phone?
Yes. Staff apply in the app, the request goes to the approver set for their department, and once it is approved the attendance register is updated and they are told. Student leave works the same way, and approved days show as leave, not absence.
Can we manage the hostel and outpasses as well?
Yes. Rooms, mess plans, roll calls and outpasses sit on the student record, so the duty warden can see who is on campus, at home or on an outing, without a gate register. Wardens see residents, not marks.
Will the front office phone get quieter?
Parents see attendance, fees, notices and their child’s bus in one app, with one login per family, and book office visits online. Questions they can answer themselves stop coming to the front desk as calls.
