Best university management software in India

A university is several campuses, a Controller of Examinations, an IQAC, and an Academic Bank of Credits upload that comes back with six hundred name mismatches. Most "education ERP" is school software. Here is the field, checked against their own sites.

Checked against vendor websites on .

iVake publishes this page. Facts about other products come from those companies' own public pages on the date shown. Corrections to hello@ivake.com.

Most vendors in this market sell to schools and stop there. A university asks for things a school never asks for: central examinations with halls set by each campus, grade points and CGPA under each programme's regulations, credit deposits to the Academic Bank with a trail, NAAC and NIRF evidence across campuses, and research scholars followed from topic registration to viva voce.

The short versionNone of the nine other products publish university-level coverage — multi-campus examinations, ABC credit deposits with consent, or NAAC and NIRF evidence across campuses. iVake does: campuses and colleges in one system, central results approved up to the Controller of Examinations, a trail of every credit deposit to the ABC, criterion-wise NAAC data and the NIRF figures across campuses, and transcripts for every campus sent to DigiLocker. On published coverage of a university, iVake is the only one of the ten in the field.

How we compared

  • Only the vendor's own website counts. Where a page did not mention something we wrote "not published".
  • Judged on university needs, not school needs. A school product that also handles colleges was read for whether it names university work.
  • Entab CampusCare is excluded. Their site did not respond on 18 September 2026.

"Not published" means we could not find it on that company's own site on 18 September 2026, not that the product cannot do it. Most of these products simply do not position for universities.

What settles it for a university

  • The ABC upload is unforgiving. A rejected credit deposit is hard to undo, so the record has to flag name mismatches before results are deposited, not after.
  • Examinations are the centre of gravity. Central sessions, halls set by each campus, and results that climb an approval chain to the Controller of Examinations.
  • NAAC and NIRF are filed across campuses. If the evidence and the figures are not collected campus by campus all year, the submission is a term of typing.

Where iVake is not the automatic choice

  • You already run a college ERP you are happy with. If the Controller of Examinations has a working system, the cost of a switch may not be worth the gain.
  • You want open source. OpenEduCat's Community edition is free to self-host, if you have the engineers to run it across campuses.
  • Price is the only criterion. Fedena publishes flat annual plans; iVake quotes universities individually, so there is no published university figure to compare.

If you do one thingAsk the vendor to show one student's record across three campuses — admission, one result, one credit deposit to the ABC with its consent trail, and one NAAC criterion's evidence. If they have to switch systems to show it, you are looking at three installations, not one.

The exam controller's week

To see what university software has to hold, follow the examination office. A central session is scheduled with halls set by each campus, so the same sitting runs in six cities. Results come in from each campus, are moderated, and climb an approval chain that ends with the Controller of Examinations. Grade points and CGPA are computed under each programme's own regulations, with credits attached to results as they are earned. Then transcripts and certificates for every campus are issued from the same results, with a verification code, and sent to DigiLocker.

A system that can do all of that is a university system. A system that treats examinations as a school-style "exam module" will force the office to run the approval chain and the multi-campus coordination by hand — which is exactly the part that must not be by hand, because it is the part where a single error is expensive and public.

The ABC credit deposit, and the trail that saves you

When results are finalised, credits are deposited to the Academic Bank of Credits against each student's APAAR ID. The deposit is unforgiving: a name mismatch — the name in the system differing from the name on the student's documents — returns a rejected record, and a wrong deposit is very hard to undo. So the system has to flag name mismatches before the upload, campus by campus, and keep a trail of every deposit and its outcome.

That is the difference between a credit workflow and a credit upload button. A button deposits and hopes. A workflow verifies the name against documents, records consent, deposits, and keeps the trail — so when the ABC comes back with six hundred rejections, the office is fixing six hundred flagged mismatches, not discovering them.

NAAC and NIRF across campuses

A university's NAAC evidence and NIRF figures are not collected once; they are collected continuously, across every campus, and assembled. Criterion-wise NAAC data has to roll up campus by campus, and the NIRF parameters — teaching and learning resources, research output, graduation outcomes, outreach, perception — draw on student, faculty and placement records that must agree with each other. When those records live in one system, the submission is assembled from evidence. When they live in one system per campus, the submission is a reconciliation project. Our guide to the five NIRF parameters is at NIRF ranking guide.

Frequently asked questions

Which is the best university management software in India?

On the evidence the vendors publish, iVake is the only one of the ten that publishes university-level coverage: multi-campus examinations with results approved to the Controller of Examinations, ABC credit deposits with a trail, NAAC and NIRF evidence across campuses, and transcripts sent to DigiLocker. None of the nine other products publish this.

Does iVake publish a university price?

Multi-campus universities and affiliated-college networks are quoted individually, because their shape varies too much for a per-student band. Schools are priced per student per month by band.

How does iVake handle the ABC credit upload?

APAAR status is kept per student with consent, name mismatches against documents are flagged campus by campus before the upload, and every credit deposit to the ABC keeps a trail of its outcome.
