Fee reminder messages for parents: templates in English and Hindi
The fee reminder is the message a school sends most often and plans least. Here are seven ready-to-use messages for parents, in English and Hindi, a schedule for sending them, and the lines a school must not cross over unpaid fees — some of them set in law.
Checked against official notices on .
In many schools, a fee reminder is whatever the accounts clerk types that day. Some parents get three, some get none, and one gets a reminder the morning after they paid.
A reminder that is vague, sent to the wrong number or aimed at the child creates calls, disputes and sometimes a complaint. A clear one gives the parent everything they need to pay. Below are seven messages to copy into WhatsApp or SMS, a schedule for sending them, and what a school must never do when a fee is overdue.
The short versionRemind the parent, never the child. Five messages over about four weeks, each with the student’s name, the amount, the date and a way to pay. Charge a late fee only if your fee policy says so, offer instalments before the final notice, and stop every reminder the moment the money arrives.
When to send each fee reminder
The five dates are our suggestion, not a rule from any board or government. Move them to fit your fee calendar, but keep the gaps: close enough to be taken seriously, far enough apart not to feel like pressure. The late fee in message 4 applies only if your fee policy has one.
| Message | When (our suggestion) | What it adds |
|---|---|---|
| 1. Friendly reminder | 7 days before the due date | Amount, date and payment link |
| 2. Due today | On the due date | Today is the last day |
| 3. Gentle overdue | 3 days after | Assumes it was missed; a number to call |
| 4. Firmer overdue | 10 days after | The late fee, if your policy has one, and a new date |
| 5. Final notice | 20 days after | A meeting, and the next step under your policy |
| 6. Thank you, received | The moment it is paid | Receipt number; reminders stop |
| 7. Payment plan | With message 4, or when asked | Instalments and dates, accepted by reply |
What every fee reminder message should say
- Who it is about. The student’s name and class. A parent with two children needs to know which fee this is.
- What is due. The fee by name and the exact amount, with any late fee shown as its own figure.
- When. A date, not “soon” or “at the earliest”.
- How to pay. A payment link, or the fee counter’s days and hours.
- Who to call. The accounts office’s number, for “I have already paid” and “I need more time”.
- Who it is from. The school’s official number or email, not a teacher’s personal phone.
Send each message to the parent on file, one family at a time — never in a class WhatsApp group, where every other parent can read it. Send during the day, and stop the moment the fee is paid.
Fee reminder messages for parents, in English and Hindi
Words in square brackets are placeholders. The Hindi versions use the same placeholders in Hindi: [अभिभावक का नाम] is [Parent name], [विद्यार्थी का नाम] is [Student name], [राशि] is [Amount], [अंतिम तिथि] is [Due date] and [भुगतान लिंक] is [Pay link]. On WhatsApp and SMS the wording has to be approved or registered in advance; see the questions at the end.

3. Gentle overdue reminder, 3 days after
Dear [Parent name], our records show that the [Fee name] of ₹[Amount] for [Student name], Class [Class], was due on [Due date] and has not been received yet. It may simply have been missed. You can pay here: [Pay link]. If you have paid, or something is wrong, please call the accounts office on [Phone]. — [School name]
4. Firmer overdue notice with the late fee, 10 days after
Dear [Parent name], the [Fee name] of ₹[Amount] for [Student name], Class [Class], was due on [Due date] and is still unpaid. Under the fee policy shared at admission, a late fee of ₹[Late fee] now applies, so the amount due is ₹[Total]. Please pay by [New date]: [Pay link]. If paying it all at once is difficult, reply to this message and we will discuss instalments. — [School name]
If your fee policy has no late fee, leave that sentence out. If it does, use the rule written in the policy parents accepted at admission, the same way for every family. Our late fee calculator shows what your rule charges.
5. Final notice before the next step (the fee defaulter notice)
Dear [Parent name], this is a final notice about ₹[Total] outstanding for [Student name], Class [Class], since [Due date]. We would much rather settle this with you directly. Please pay by [New date] at [Pay link], or come and see the accounts office before then; call [Phone] to fix a time. If we do not hear from you by [New date], the matter will be taken forward under the school’s fee policy. — [Name], [Designation], [School name]
Many schools call this a fee defaulter notice. Keep that word out of the message: it reads as an accusation. Send it to the parent alone, by WhatsApp, email or a posted letter on letterhead, never through the child. Make the next step one you could defend: a meeting, a written payment plan, then whatever your fee policy and your state’s rules allow, aimed at the parent.
6. Thank you, fee received
Dear [Parent name], thank you. We have received ₹[Amount] for [Student name], Class [Class], on [Date paid]. Receipt number: [Receipt number]. You will not get any more reminders for this fee. — [School name]
7. Instalment or payment plan offer
Dear [Parent name], we understand that paying ₹[Total] at once can be difficult. We can split the outstanding fee for [Student name], Class [Class], into instalments: [Plan]. Reply YES to accept this plan, or call [Phone] to discuss another. — [School name]
[Plan] is the schedule in plain words, such as “₹6,000 on 1 October and ₹6,000 on 1 November”. Once a parent accepts, confirm it in writing and move the reminders to the new dates.
What not to do when a fee is overdue
The fee is owed by the parent, so every step to recover it should be aimed at the parent. Some of what follows is law and some is good practice; we say which.
- Do not name, shame or single out a child. No names read out in class or assembly, no lists on a notice board, website or class group, no different seat or duty. For children aged six to fourteen, Section 17 of the Right of Children to Free and Compulsory Education Act 2009 says no child shall be subjected to physical punishment or mental harassment. NCPCR’s Manual on Safety and Security of Children in Schools (2021) counts humiliating remarks as mental harassment, and treating a child differently for non-payment of fees, including seating or duties, as discrimination.
- Do not hold a child out of class, exams or activities, or withhold results. In Delhi this is law. Section 13 of the Delhi School Education (Transparency in Fixation and Regulation of Fees) Act 2025 bars harassing or coercing a student over unpaid or late fees, including by withholding exam results, denying access to classes or activities, public humiliation, and striking a name off the rolls over fees not fixed under the Act. The penalty is ₹50,000 per violation for each student. Elsewhere, treat it as good practice and check your state’s fee regulation rules.
- Do not send the reminder through the child. No notes in the school diary, no reminders in class. In July 2024 the Madras High Court said harassing children over unpaid or late fees amounts to cruelty under Section 75 of the Juvenile Justice Act 2015, that schools should not involve children in fee collection, and that transfer certificates should not record fee arrears (reported by PTI, 19 July 2024).
- Do not add a late fee your policy does not contain. A charge invented on the day is the one a parent will dispute. Good practice, not a rule we can cite for every state.
- Do not keep sending after payment, or at night. Good practice again.
The Delhi Act came into force on 10 December 2025, according to a Directorate of Education order of 24 December 2025. Private schools have challenged it in the Delhi High Court; in February 2026 the Supreme Court left questions on its validity to that court, and the case was still pending when last reported in July 2026. Check its status before you rely on it.
If you do one thingWrite your reminder schedule, your late fee and your next step into the fee policy parents accept at admission, then follow it the same way for every family. A rule applied evenly is easy to defend. A threat made at the counter is not.
This is general information, not legal advice. Fee rules differ by state and change over time. Check your state’s fee regulation law and your board’s conditions before you act on any summary, including this one.
How iVake handles it
Each instalment on an iVake fee plan carries its own due date and reminder schedule. Reminders go out gentle at first and firmer after the due date, on WhatsApp from your institution’s own business number, with DLT-registered SMS or email for families not on WhatsApp. Approved templates are filled from the student record at send time, so the name, class, amount and date match the ledger.
When the gateway confirms a payment, the receipt goes to the parent and reminders for that instalment stop. Every demand, reminder and receipt is logged against the student with the time and channel, so “we were never told” starts from the record. A late fee, if your policy has one, sits on the instalment and applies once the due date passes. Quiet hours and opt-outs are enforced by the platform.
Replies such as “can I have more time” reach the accounts office, not a teacher’s phone. Instalments can be set by term or month, and parents see every child’s dues in one login and pay by UPI, card or net banking.

Frequently asked questions
How do I write a fee reminder message for parents?
Give the student’s name and class, the fee and the exact amount, the due date, a way to pay and a number to call. Keep it polite and short, and send it from the school’s official number to the parent on file, not to a class group. The seven templates above run from a week before the due date to a final notice.
What is the right format for a fee defaulter notice?
State the amount outstanding and since when, any late fee your policy allows, a new date to pay, an offer to meet or agree instalments, and the next step under your fee policy, signed by a named person. Send it privately to the parent. Never display names on a notice board, website or class group, or read them out in class.
Can we send fee reminder messages to students?
In a school, send them to parents, not to the child. In July 2024 the Madras High Court said schools should not involve children in fee collection (reported by PTI). Colleges are different: where adult students pay their own fees, the same templates can go to the student, starting “Dear [Student name]”.
Can we send fee reminders on WhatsApp and SMS?
Yes, within each channel’s rules. WhatsApp’s Business Messaging Policy allows messages only to people who gave you their number and opted in, and you must honour a request to stop. Outside a customer service window Meta allows only approved templates, so a reminder your school starts will normally need one. For SMS, TRAI requires senders to register themselves, a header and each message template before sending.
Can a school charge a late fee on overdue fees?
Only if it is in the fee policy parents accepted at admission, stated as a clear rule, and allowed by your state’s fee regulation rules. Apply it the same way to every family and show it as its own figure in the reminder. Our late fee calculator works out what your rule charges, with a grace period and a cap if you set them.
