UDISE+ 2026-27: student progression, APAAR and the order of work

The Ministry of Education has asked states to finish UDISE+ data entry for 2026–27 by 30 September 2026. For most schools the job is no longer typing in every child. It is moving last year's students forward correctly, and fixing the records that do not match.

Checked against official notices on .

UDISE+ is the Ministry of Education's data system for every recognised school, from pre-primary to Class 12. In 2025–26 it covered 14,66,682 schools, 1,02,73,020 teachers and 24,72,19,766 students. Since 2022–23 it has held a record for each student, not a headcount per class.

That changes the work. On 14 July 2026 the Ministry told states that students already in UDISE+ only need to be progressed to the next class, and fresh entry is needed only for new admissions.

The short versionDo the student module first, in order: progression, then new admissions, then APAAR. Teachers and the school profile follow, and certification comes last. Most rework comes from names and dates of birth that do not match Aadhaar, students entered twice, and leavers never marked as left.

What UDISE+ asks of your school in 2026–27

  • School profile and facilities. Buildings, classrooms, laboratories, digital infrastructure, toilets, drinking water and ramps.
  • Teacher module. One record for each teaching and non-teaching staff member, with qualifications, appointment and training. Each teacher gets a National Teacher Code.
  • Student module (SDMS). One record for each student, kept against a Permanent Education Number (PEN): an 11-digit number the system gives each student, which follows them through progression and transfers.

The questions behind these screens are in the Data Capture Format (DCF) for 2026–27, version 5.0, dated 15 July 2026, on the UDISE+ website.

The UDISE+ 2026-27 deadline, and the reference date

  • The date. The Ministry's letter of 14 July 2026 asks states to complete 2026–27 data entry by 30 September 2026 and to certify it quickly. Your state or district may set schools an earlier date; follow theirs.
  • Last year. The same target was set for 2025–26. It was extended three times, then given a final date of 15 December 2025. Do not plan on that happening again.
  • The reference date. The 2021–22 UDISE+ report counted data as on 30 September. The 2024–25 and 2025–26 reports use the academic year, with a cut-off of 31 March. Today, 30 September is a deadline, not a counting date.
  • Army schools. From 2026–27, Army Welfare Education Society schools are certified directly through AWES's own hierarchy.

The order of work

Student module first 1 · Progression Promote, hold back or mark left then finalise the school 2 · New admissions Import anyone with a PEN Add only students with no record 3 · APAAR Consent or refusal first Name must match Aadhaar then the rest of the school 4 · Teachers Joiners, leavers, posts and qualifications 5 · School profile Facilities as actually used Basic details via Block MIS 6 · Certify Only when 100% complete Edits then need de-certifying

The sequence is our suggestion; the Ministry publishes no required order. Three parts are how the portal works: existing students are progressed or imported, not retyped; APAAR needs consent and a verified record; and data is submitted only once certified complete.

Step 1: UDISE student progression

Progression moves every 2025–26 student into 2026–27. It sits under Student Movement and Progression in the student module. For each student, section by section, you record:

  • A progression status. Promoted by examination, promoted without examination, not promoted (repeater), or repeater by choice. Classes 10 and 12 add statuses for absence and compartment. Some are state options, so your list may differ.
  • Marks and attendance. The overall percentage, and days attended (1 to 250).
  • A schooling status. Studying in the same school, or left with or without a TC, with the reason. Students marked as left move to the Dropbox, where their next school can import them.

Finalise each section, then the school, which freezes that year's data. Later changes go through the correction buttons.

Why progression comes first

  • It carries your continuing students. A promoted student appears in their new class without fresh entry. A student you skip is missing from 2026–27.
  • It releases your leavers. A child who has moved school stays active on your roll, and cannot be imported by their new school, until you mark them as left or approve a release request.
  • It unblocks your admissions. In reverse, children joining you can be imported only once their last school has released them.

If your state or Block MIS has set its own order, follow it.

Step 2: new admissions — import before you add

  • Import is for any student already in UDISE+. Search by PEN and date of birth, then enter the admission date, class and section.
  • Add student is only for a child with no record in UDISE+ at all. Adding a child who already has one creates a duplicate.

If the previous school has not released a student, raise a release request with the PEN and date of birth. If that school refuses, you can escalate once to the admins in your state. The portal's Duplicate Records module lists students entered twice; check it before you certify.

Step 3: APAAR ID through UDISE+, with consent

APAAR is a 12-digit lifelong academic ID linked to DigiLocker and the Academic Bank of Credits. For school students it is generated in the APAAR module of the UDISE+ student module.

  • Consent comes first. The consent form on the APAAR website lets parents consent or refuse. Refusal does not affect admission, promotion or government benefits, and consent can be withdrawn later. A refusal is marked as denied and no ID is generated.
  • Then the prerequisites. A PEN, a verified Aadhaar and a complete profile, with the name in UDISE+ matching the name on Aadhaar. The module then records the parent's details, the date of consent and a declaration by the head or an authorised staff member.

Generation usually fails on a mismatch between Aadhaar and school records, and corrections get harder once Aadhaar is verified:

  • A student's name can be updated only once.
  • Gender, date of birth and parents' names can be edited by the school only while Aadhaar is unverified; after that, only by your Block, District or State admin.
  • The Aadhaar number cannot be changed by the school once Aadhaar is verified and APAAR is generated.

Aadhaar itself is optional in UDISE+; the DCF says to enter twelve 9s where a student has none.

Steps 4 to 6: the teacher module, school profile and certification

The UDISE+ teacher module

Each staff record covers personal details, qualifications, appointment, subjects, training and days spent on non-teaching work. Start with joiners and leavers, then check dates and qualifications against the staff file.

School profile and facilities

Report facilities as they are used: the UDISE+ FAQs say only computers used for teaching count, and drinking water declared unsafe does not. Basic details such as name, management, category and classes cannot be edited from a school login; the Block or District MIS changes them on request, so ask early.

Certification

Data can be submitted only once it is certified complete and correct, and whoever certifies is held responsible. At school level, the Ministry places that responsibility on the principal or head teacher. Student data cannot be submitted until every student's forms are complete. After certification, an edit needs de-certification by your Block MIS.

Where the rework comes from

Why a clean student master saves this every year

UDISE+ carries each student forward. A name typed wrongly in Class 1 is still wrong in Class 10, and surfaces when APAAR is generated or the child moves school.

If the fields UDISE+ needs sit in one checked record in your school, the portal becomes copying, not detective work. Our suggestions:

  • At admission, record the name exactly as on Aadhaar, alongside any name the family uses.
  • Collect the PEN for every student who joins from another school.
  • Record APAAR consent or refusal for each student, with the date and the signed form.
  • Mark leavers in UDISE+ when the TC is issued, not at progression time. Their next school is waiting.

If you do one thingBefore your state's deadline, download the list of active students from the UDISE+ reporting module and compare it with your own register: names, dates of birth, class and section. Every difference you find now is one you will not find during certification.

How iVake handles it

UDISE+ entry and certification stay with your school, on the portal. What iVake changes is the record you copy from. Each student has one record from admission onward, and the applicant becomes the student without retyping, so a name or date of birth is written once. Each year's enrolment is added to the same file, and every change is logged with who made it and the previous value.

APAAR verification status is tracked for every student on roll. Transfer certificates and admission papers sit on the student's file, checked against a requirement list. When records come across from older software, near-duplicates are held for a person to decide rather than merged silently.

The report builder lets your office pick fields, group by class and section, and export the list you check against UDISE+. Staff profiles hold the qualifications and appointment details the teacher module asks for.

Frequently asked questions

What is the last date for UDISE+ 2026-27?

The Ministry of Education's letter of 14 July 2026 asks states and UTs to complete 2026–27 data entry by 30 September 2026. Your state or district may set an earlier date for schools. No extension had been announced on the UDISE+ website when we checked on 21 September 2026.

How do I do student progression in UDISE+?

In the student module, open Progression Activity under Student Movement and Progression and choose a 2025–26 class and section. Enter each student's status, marks, days attended and schooling status, finalise the section, and finalise the school when every section is done.

Can I add a new admission in the UDISE+ student module if the child already has a PEN?

No. Add Student is only for children with no record in UDISE+. A child with a PEN is imported from the Dropbox using the PEN and date of birth, and if the previous school has not released them, you raise a release request.

How is an APAAR ID generated through UDISE+?

The school generates it in the APAAR module of the student module, after a parent or guardian signs the consent form. The student needs a PEN, a verified Aadhaar and a name matching Aadhaar. If the parent refuses, consent is marked as denied, and refusal does not affect admission or promotion.

What is the difference between the PEN and the APAAR ID?

The PEN is the 11-digit Permanent Education Number UDISE+ gives every student to track their record, progression and transfers. The APAAR ID is a 12-digit lifelong academic ID, created only with consent, and a PEN is needed before it can be generated.
