What an education ERP actually costs in India
You need one number to take to the management committee, and most vendors will not give you one until you have sat through a demo. Here is what the ones who publish actually say, in their own currency and their own unit.
Checked against vendor websites on .
iVake publishes this page. Prices for other products come from those companies' own public pages on the date shown, and they change — check before you budget. Corrections to hello@ivake.com.
The awkward part of buying school or college software in India is that the first real number arrives after three meetings. Of the nine products we could check, five publish no figure at all, so a trustee approves a direction before anyone can approve an amount.
The short versionFour vendors publish a price: Fedena in rupees a year, and Meritto, Classe365 and OpenEduCat in US dollars — each on a different unit, being applications, students and modules. Comparing them is not a currency conversion. Decide your unit before you compare anything.
Who publishes a price, and who does not
| Product | Published on their own site | Free trial |
|---|---|---|
| Fedena | ₹50,000 / ₹75,000 / ₹1,00,000 a year, plus GST | 14 days, no card |
| Meritto | $8,000 to $55,000 a year, banded by applications | Not published; demo only |
| Classe365 | $100 a month core, $75 a month per add-on | 15 days |
| OpenEduCat | USD per module a year, plus user packs | 15 days, no card |
| Teachmint | Not published | Not published |
| MyClassboard | Not published | Demo only |
| Edunext | Not published | Not published |
| Vidyalaya | Not published | Not published |
| Skolaro | Not published | Not published |
| iVake | ₹8 / ₹7 / ₹5 per student a month, by band | 30 days, no card |
"Not published" means we could not find a figure on that company's own site on 18 September 2026. Entab CampusCare is excluded: their site did not respond that day. Software directories show prices for most of these products, but those fields are entered into the directory rather than published by the vendor, and several contradict each other.
What the four published lists say
Fedena prints three annual plans plus GST, billed yearly: Standard ₹50,000, Premium ₹75,000, Ultimate ₹1,00,000, with an Enterprise tier on request that adds the source code. Every plan says unlimited users, automatic updates and free cloud hosting, and the trial is 14 days with no card. Placement and alumni are add-ons, so confirm which plan carries them.
Meritto prices annually in US dollars and bands by applications, not students. Plans run from $8,000 a year for Starter under 5,000 applications to $55,000 for Pro in the 25,000 to 50,000 band; above that, contact them. Users are capped at 15, 25 and 50, and the built-in connector is Stripe. This is admissions software, not the same basket as a campus ERP.
Classe365 publishes a core module at $100 a month for the 1 to 100 student band, and every add-on — enrolment CRM, LMS, fees, finance, alumni, degree audit, AI — at $75 a month each. Bands run to 1,000-plus and annual billing takes 10% off. Setup is from $2 per student, on-site work $1,500 a day.
OpenEduCat has two prices. The Community edition is free and self-hosted under LGPL-3.0. The paid route is per module per year in dollars: core $489, then $79 each for alumni and placement, $160 each for fees and attendance, $499 each for the grade book, LMS and WhatsApp, $599 for Moodle. User packs run from $29 a year for 25 users to $5,049 for unlimited, and mobile apps cost $889 for Android and $1,179 for iOS. Their page says "No per-student fees" — true, because you pay by module and by user instead.
Why a rupee per student is easier to approve
- A committee approves a figure, not a band. A dollar price has to be converted, and the rate on the day of the invoice is not the rate on the day of the resolution.
- Per-application and per-band pricing jumps. Charged by applications, a good admission season raises your software bill. Charged by band, crossing from 500 to 501 students moves you a whole step.
- A flat annual plate hides the per-head cost. ₹1,00,000 is the same for 200 students and 2,000 — excellent at the top of the range, poor at the bottom. And GST at 18% sits on top of every rupee figure here, so put it in the board paper.
What iVake charges
Campus operations are ₹8 per student per month up to 200 students, ₹7 from 201 to 10,000, and ₹5 above 10,000; universities are quoted individually. Three add-ons are flat per month whatever your size: admission management ₹4,999, training and placement ₹3,999, alumni management ₹2,999. Onboarding is a one-time ₹10,000 covering migration and role-by-role training. GST at 18% is extra. Quarterly billing takes 5% off, yearly 15%. The trial is 30 days, full features, no credit card. Staff logins, parent and student app access, reports, upgrades and support tickets are never charged extra.
A 1,000-student school, worked through
| Line | Amount |
|---|---|
| 1,000 students at ₹7 per student per month | ₹7,000 a month |
| Twelve months at that rate | ₹84,000 |
| Less 15% for paying yearly | − ₹12,600 |
| Subscription for the year | ₹71,400 |
| GST at 18% | ₹12,852 |
| One-time onboarding, ₹10,000 with GST | ₹11,800 |
| First year, all in | ₹96,052 |
| From the second year | ₹84,252 |
Paying monthly is the same ₹7,000 with no discount, so ₹99,120 with GST across the year. Admission management adds ₹4,999 a month flat, whether 300 families apply or 3,000. Sixty teachers and six pay the same, because logins are not charged and the parent app is not a separate line. Run your own numbers on the pricing page.
The costs that do not appear on a price page
- Are logins charged? Meritto's plans cap users at 15, 25 and 50. OpenEduCat sells user packs, $29 a year for 25 users up to $5,049 for unlimited. Fedena says unlimited. This matters most at the fee counter.
- Is the parent app included, and is it a parent app? Meritto's own mobile app page describes a field and counsellor app. OpenEduCat prices Android at $889 a year and iOS at $1,179.
- What does a module cost to add later? On a per-module list, a full lifecycle stacks. Price the basket you will have in year three.
- Who pays for migration and role-by-role training? Classe365 publishes services separately; most others publish nothing, so ask for it in the proposal.
- Are upgrades and support included, or billed? Fedena lists automatic updates and free cloud hosting on every plan; Meritto says customer success is included in every subscription.
- On a free licence, what is the running cost? OpenEduCat's own edition comparison puts servers, updates, backups, security and support on you, and says you pay for "your own infrastructure (servers, backups, staff time)". A budget line paid to your own people.
- On a dollar price, who carries the exchange rate, and what does the invoice look like for your accounts and your GST filing?
- What is the price in year three? None of the published pages we read say. Get the escalation into the agreement.
Where iVake is not the cheapest answer
- A large school may do better on a flat annual plate. Fedena publishes ₹1,00,000 a year plus GST for its top plan, unlimited users. At 3,000 students, iVake's published rate is ₹2,14,200 before GST even after the yearly discount. The products do not cover the same ground, but the arithmetic is the arithmetic.
- If you have engineers, open source wins on licence cost. OpenEduCat's Community edition is free to download and self-host. iVake is not open source and has no on-premise product. If you only need admissions, a standalone admissions product priced for a counselling floor fits better too.
- If procurement requires years of independent reviews, we do not have them. iVake has no third-party ratings or review counts. It is new under this name, having been MyLeading Campus, and the trial is the only proof we can offer.
If you do one thingWrite down your unit before the demos start — per student, per login, per application, per module, or flat. Then ask each vendor to quote on your unit for the session 2027–28, with tax and onboarding shown. Half the shortlist will struggle, and that tells you something.
