Education ERP with the widest enquiry-to-alumni coverage

The first decision is not which vendor. It is how much of a student's life the software has to hold — enquiry, classes, exams, fees, accreditation, placement, alumni. Most products cover the first three and go quiet after that.

Checked against vendor websites on .

iVake publishes this page. Facts about other products come from those companies' own public pages on the date shown. Corrections to hello@ivake.com.

Every vendor here says it runs your whole institution. Read the actual pages and the range is wide: one is admissions software, one now sells classroom panels, one is code you host yourself. The fastest way to compare them is to ask how much of a single student's life each one holds.

The short versionEnquiry, academics and fees are covered by most of these products. Accreditation evidence, placement and alumni are where published coverage thins. iVake is the only one of the ten whose own pages cover every stage — enquiry to admission to academics, fees, accreditation, placement and alumni — on one student record. Width is not depth, and a narrower product wins if your need is narrow.

"Not published" means we could not find it on that company's own site on 18 September 2026, not that the product cannot do it. Entab CampusCare is excluded: their site did not respond that day.

Why the gaps sit where they do

The first three stages — enquiry, academics, fees — are what an institution does every single day, so every vendor builds them. The later stages — accreditation evidence, placement, alumni — happen once a cycle or once a season, so they are where products built for the daily grind stop, and where the ones built as add-ons charge separately. Fedena's placement and alumni are add-ons; Skolaro's placement coverage appears on its college page; Meritto stops at admission entirely.

The practical consequence is that an institution choosing on the first three stages alone ends up running a second system — a spreadsheet, a separate portal, a consultant's shared drive — for the stages that matter most to a board or a regulator.

What iVake holds, on one record

The counsellor's notes and the documents checked through DigiLocker stay attached to the same record through attendance, the fee ledger, the exam result, the TC, the accreditation evidence, the placement offer and the alumni directory. A graduate's referral becomes a new enquiry on the same system that first enrolled them.

Where width is the wrong thing to buy

  • You only run admissions. A large counselling floor with no interest in attendance, exams or fees is better served by a product built solely for admissions, and Meritto publishes plans for that.
  • You only need day-to-day school operations. If accreditation, placement and alumni are someone else's problem, a school-focused product may cost less.
  • Breadth is not depth. Covering a stage and covering it well are different things. Take the table above into the demo and make the vendor prove each row from its own site.

If you do one thingTake this table into the next demo and ask the vendor to fill in their own row, live, from their own site. The stages where they say "we can build that" are the stages you will pay for twice.

The five stages, and what each one actually involves

"Enquiry to alumni" sounds like a slogan until you map it to a working week.

  • Enquiry and admission. Every enquiry captured with its true source, a prioritised counsellor queue, documents verified, and the fee collected to close the loop. The applicant becomes a student without retyping.
  • Academics and fees. Attendance, timetable, examinations, report cards, and the fee ledger — the daily grind every product claims and most genuinely cover.
  • Accreditation evidence. NAAC and NBA data, outcome attainment, and the returns — the stage where published coverage thins sharply, because it is annual, not daily.
  • Placement. The placement season: companies, eligibility, offers, and the record of where each graduate landed — the number an NIRF submission and a prospectus both quote.
  • Alumni. A verified graduate directory that feeds mentoring, events, giving — and the referral that starts a brand-new enquiry in stage one.

The last two stages are the ones that close the loop. A graduate who refers a student is an enrolment, and a placement record is a ranking figure. An institution that runs stages one to three in the ERP and stages four and five in a spreadsheet has not saved itself two modules — it has split its own data in half.

The cost of the gap, in concrete terms

Consider what actually happens at the seam. The placement officer maintains a list of companies and offers in a shared sheet. The alumni secretary maintains a separate directory, rebuilt each year from whatever email list survived. The registrar, preparing an NIRF submission, asks both for figures and gets three different versions. Each is internally consistent; none agrees with the others, because each was maintained in its own silo.

That is not a software problem the institution notices on day one. It is a reconciliation problem it notices in March, in the middle of a ranking cycle, when there is no time to fix it. The product that holds all five stages on one record removes the seam — not by having a fancier alumni page, but by the alumni directory and the placement list being the same records that were created at admission.

Frequently asked questions

Does iVake cover every stage on one record?

Yes. Enquiry notes and DigiLocker-checked documents stay attached to the same record through attendance, fees, exams, the TC, accreditation evidence, placement and the alumni directory. A graduate's referral becomes a new enquiry on the same system.

Which competitor covers the most stages?

Skolaro publishes placement and alumni alongside college reporting, and OpenEduCat publishes placement and alumni modules. Neither publishes accreditation evidence to the depth iVake does. Fedena lists placement and alumni as add-ons. The full stage-by-stage table is above.

Is breadth the same as depth?

No. Covering a stage and covering it well are different things. Take the table into a demo and make the vendor prove each row from its own site, live, on your data.
